This role is responsible for coordinating end-to-end domestic and international shipments, ensuring timely delivery, and managing documentation and compliance. The ideal candidate will be highly organized, flexible with scheduling, and comfortable engaging directly with vendors, building teams, and stakeholders to keep shipments on track.
Key Responsibilities
- Book domestic and international shipments through internal teams or external carriers.
- Manage customs clearance by preparing accurate documentation and coordinating with brokers.
- Oversee physical shipment and receipt of lanes from multiple sites, ensuring timely pick-up and delivery.
- Partner with engineering stakeholders to align on deadlines, lane requirements, and shipment schedules.
- Verify and maintain shipping paperwork to avoid last-minute delays or compliance issues.
- Coordinate with building management teams to ensure entry and acceptance requirements are met.
- Engage daily with vendors (carriers, drivers) to schedule and confirm shipments.
- Raise shipment tickets, obtain quotes, negotiate costs, and raise POs as needed.
- Be present onsite at pick-up and delivery locations as required.
- Track shipments weekly until final delivery confirmation.
- Collaborate with shipment teams, carriers, warehouse staff, and building management for seamless execution.
- Coordinate the delivery process for hardware against a forecasted schedule.
- Manage upcoming delivery demand to customer sites in Europe across multiple countries.
- Organize orders and shipments in SIM to ensure hardware units are dispatched on time.
- Interact with 4–6 stakeholders daily, including engineering and warehouse contacts.
- Flexibility required for early morning or late-night shipment activity depending on urgent needs.
- Standard schedule Monday–Friday, with typical hours of 12:00 PM – 8:00 PM.
- 3 years of material and inventory management experience, including international shipments.
- Proficiency with SIM or a similar system (prior experience highly valued).
- Strong judgment and decision-making skills in fast-moving logistics environments.
- Flexibility to adjust to evolving shipment processes and urgent operational needs.
- Strong organizational and communication skills for coordinating across carriers, vendors, and stakeholders.
- Proficiency with SIM (or a comparable logistics/inventory system).
- 3 years of material and inventory management experience with international scope.
- Strong decision-making and judgment in managing logistics operations.
