Essential Functions
Service Scheduling & Contract Administration
- Review incoming service agreements, proposals, and contract documents forcompleteness and accuracy prior to processing.
- Process all contracted service agreements and establish recurring service schedules.
- Coordinate third-party vendors for contracted services not self-performed by IPS.
- Monitor multi-year agreement expiration dates and maintain associated pricingrecords.
- Create and maintain recurring monthly revenue (RMR) records for all contractedservice agreements.
- Review monitoring activations and ensure proper documentation and billing setup toensure proper billing.
- Documentation & Systems Management
- Manage documentation related to service contracts, monitoring accounts, andrecurring agreements.
- Maintain accuracy of CRM, Sedona, BuildingReports, and related company systems.
- Support sales team with service agreement scope review and recurring service needsduring quoting and proposal development.
- Communicate with customers regarding contract details, scheduling, clarifications,and service needs.
- Update pricing for expiring agreements, annual rate increases, and recurring service contracts.
- Assist with billing accuracy and contract-related invoice support.
- Attend recurring RMR/service meetings.
- Assist service scheduling team as backup when required.
- Support inspection schedulers during high-volume periods.
Required Qualifications
- Strong organizational skills with high attention to detail.
- Excellent written and verbal communication skills.
- Strong computer proficiency including Microsoft Excel, Word, CRM systems, and service software platforms.
- Ability to learn technical service processes and monitoring platforms quickly.
- Strong problem-solving ability and self-direction.
- Ability to manage multiple priorities simultaneously in a fast-paced environment.
- Experience working collaboratively across departments.
- Background check and random drug testing required.
- Experience in service administration, recurring billing, service scheduling, or monitoring account administration.
- Familiarity with Sedona, BuildingReports, or similar inspection/service software.
- Understanding of fire alarm, security, access control, or life safety service processes preferred.
