What are the responsibilities and job description for the Payroll Specialist position at InSync Consulting Services Inc.?
Responsibilities for Payroll & Billing Specialist:
- Process full-cycle payroll for employees across multiple states in a timely and accurate manner
- Ensure compliance with federal, state, and local payroll regulations
- Manage payroll deductions, taxes, garnishments, and benefits administration
- Generate and manage client invoices, ensuring accurate billing based on timekeeping data
- Monitor accounts receivable, follow up on outstanding balances, and resolve billing discrepancies
- Reconcile payroll and billing records and assist with month-end close activities
- Respond to employee and client inquiries regarding payroll and billing issues
- Partner with HR and accounting teams to ensure data accuracy and process efficiency
- Report to department supervisor timekeeping issues
- Work directly with contractors to resolve weekly issues
- Prepare reports to relevant departments about payroll, invoicing, and expense issues
- Create invoices for customer using payroll registers
- Communicate with customers directly in regards to invoices, payments, and other account items that arise
- Other related duties as assigned.
Qualifications for Payroll & Billing Specialist:
- Minimum 3 years of payroll experience, including multi-state payroll processing
- Minimum 3 years of billing experience
- Experience with accounts receivable and collections processes
- Hands-on experience with QuickBooks (required)
- Associate’s degree required; Bachelor’s degree preferred (Accounting, Finance, or related field)
- Strong understanding of payroll regulations and compliance requirements
- High level of attention to detail and accuracy
- Strong Excel skills and overall technical proficiency
