This position shall be responsible for the scheduling of work shifts for employees. The Staffing Coordinator shall be responsible for ensuring adequate staffing of special events, the racetrack, SCTU, BLS 911, ALS 911, BLS Transport, and all other required shifts for members of ground transport departments. This position shall work in collaboration with Service Line Managers (SLM) to provide adequate staffing of contracted and non-contracted shifts and shall utilize resources where appropriate. They will work in collaboration with SLM to approve paid time off in accordance with scheduling needs, follow policy and procedure as well as all collective bargaining agreements. The staffing coordinator will be responsible for revising and correcting timecards and performing special projects as requested. Under the Ground Transport Business Manager, serve as staff fellow coordinator regarding policies and procedures. Responsibilities include maintenance of time-keeping records, preparation of informational materials, spreadsheets and creating various databases. This includes collaboration with Ground Transport Supervisors, Service Line Managers, On Duty Manager, and directors to ensure necessary coverage is obtained for the following shift. Education Experience: •High School Diploma or Equivalent •Scheduling or related experience Certification/Licensure: •N/A Knowledge Skills: •ESO software experience preferred. •Proficiency with Microsoft Word and Excel software programs. •Ability to work under time constraints with accuracy •Scheduling or related experience •Ability to perform mathematical calculations •Working knowledge and experience in staffing/scheduling within a high-performance EMS system preferred •Effective oral, written and interpersonal communication skills Position Responsibilities •Oversight over all schedules for the operations. Scheduling is to be completed in a fiscally responsible and nondiscriminatory manner. •Create shifts and assignments where needed, maintain the schedule on ESO, modify daily schedule as needed, which includes notifying and communicating with employees regarding shift assignments. •Review and verify employee hours for accuracy. Assist in recording and maintaining employee attendance records/files and timekeeping functions. •Prepare and compile various periodic reports and documents for review and analysis. These may include weekly timekeeping stats, personnel stats, absence reports, overtime tracking, and other related reports. •Maintain vacation schedules, shift exchanges, shift giveaway requirements, etc. •Maintains the daily MAVT, EMT, paramedic,and Nurse availability lists •May be requested to tracks field employee attendance and punctuality data •Schedules PTO. •Coordinate and schedule student ride-alongs. •Receives and documents all day change/vacation request forms •Contacts operations and appropriate members of management with status of daily staffing needs and complications. •Verifies PTO balances and processes PTO requests. •Verify employee punches in the UKG system, posting corrections to the system based on review. •Schedule standbys and special event staff. •Assist employees in the resolution of timekeeping issues. •Maintains positive, professional, productive relationships with all levels of staff, ensuring the companys interests are properly represented at all times. •Adhere to all Inspira and collective bargaining policies and procedures and agreements.?>
