The Human Resources Assistant will support the Head of Human Resources and the Senior HR Associate in the administration and day-to-day execution of HR operations for Insigneo’s U.S. entity. This role is critical in ensuring the efficient delivery of HR services while contributing to a seamless and high-quality employee experience.
Employment Type: Temporary position with the opportunity to transition into a full-time, permanent role based on performance and organizational needs.
JOB RESPONSIBILITIES/MAIN FUNCTIONS
- Provide day-to-day operational support across U.S. HR processes, ensuring timely and accurate execution of tasks.
- Maintain and update employee records, HRIS systems, and personnel files in compliance with company policies and regulatory requirements.
- Support onboarding and offboarding processes, including documentation, system setup, and coordination with internal teams (IT, Payroll, Compliance), as needed.
- Support payroll processing by preparing and validating data, ensuring accuracy and timely submission.
- Assist with recruitment coordination, including job postings, interview scheduling, candidate communication, and tracking pipelines.
- Support the preparation and coordination of documentation and communication for audits, compliance reviews, and immigration-related processes.
- Track and follow up on HR requests and deliverables to ensure deadlines are met across teams and geographies.
- Contribute to continuous improvement of HR processes, systems, and employee experience initiatives.
JOB REQUIREMENTS (EDUCATION AND EXPERIENCE)
- Bachelor’s degree in Human Resources, Business Administration, Psychology, Organizational Development or a related field (or equivalent experience).
- 1–3 years of experience in an HR, administrative, or coordination role.
- Experience supporting multi-country HR operations or global teams strongly preferred.
- Familiarity with HRIS systems and payroll platforms (e.g., ADP, UKG, Workday) required.
- Experience supporting onboarding, benefits, or payroll processes is a strong plus.
- Bilingual in English and Spanish required.
