Day to Day:
A client in Brooklyn is seeking an Administrative Assistant to support the onboarding and compliance process for newly hired school bus drivers for a 3 month contract opportunity with possible extensions or conversion. Due to significant organizational growth and increased route volume, this individual will play a critical role in helping the team efficiently onboard drivers, manage compliance documentation, and support walk-in candidates. The ideal candidate is detail-oriented, organized, customer-service focused, and able to manage multiple administrative tasks in a fast-paced environment.
- Conduct administrative support for the driver hiring and onboarding process
- Assist Customer Experience Specialists with candidate offer and onboarding activities
- Coordinate candidates entering training and onboarding programs
- Manage and track required hiring documentation and compliance requirements
- Support completion of NYC DOE compliance paperwork and related records
- Help schedule and facilitate candidate onboarding activities, including physicals and drug screenings
- Respond to candidate inquiries using established templates and communication processes
- Assist walk-in applicants and provide exceptional customer service
- Maintain accurate records in company tracking systems and spreadsheets
- Partner with onboarding team members and local operations staff to ensure drivers are cleared and ready to work
Must Haves
- 1 years of administrative, onboarding, compliance, HR support, or clerical experience
- Strong organizational skills with a high level of attention to detail
- Proficiency in Microsoft Excel and Microsoft Office
- Excellent verbal and written communication skills
- Experience working directly with customers, employees, or the public
- Ability to manage multiple tasks and follow established processes
- High school diploma or equivalent
Plusses
- Transportation, logistics, fleet, or school transportation industry experience
- Experience supporting compliance or onboarding processes
- Familiarity with PERS, PETS, Trello, or similar tracking systems
- Bilingual in Spanish or Haitian Creole
- Experience working with regulatory documentation or licensing processes (DOT, driver compliance, etc.)
Compensation:
$20/hr to $22/hr (flexibility dependent on experience).
Exact compensation may vary based on several factors, including skills, experience, and education.
