About Us

The University System of Georgia (USG) is comprised of 25 higher education institutions as well as the University System Office (USO). Within the USO, our administrative operations are primarily housed in the Trinity Washington Building located in downtown Atlanta. Our Information Technology Services (ITS) division is located in Athens. The University System of Georgia Shared Services Center (SSC) is located in Sandersville. The Georgia Public Library System is located in Atlanta. The Georgia Archives is located in Morrow. The State of Georgia Records Center is located in Austell.

Location

This role is based at the Information Technology Services (ITS) office in Athens, Georgia, located at 2500 Daniells Bridge Road. Onsite attendance is required five days a week, and remote work is not offered for this position.

This position is for permanent, full-time employment. Candidates must reside in the state of Georgia or be willing to relocate to Georgia as a condition of employment.

Job Summary

This is a professional-level Communications Professional position responsible for planning, developing, and delivering clear, consistent, and audience-focused communications that support high-impact, system-wide academic services initiatives. The role focuses on documenting organizational change, business processes, and adoption efforts for student information systems and related enterprise applications.

The Communications Professional partners closely with functional leaders, project managers, business analysts, and subject matter experts to translate complex technical and process changes into accessible, actionable communications and training materials. This position plays a key role in shaping how initiatives are understood, received, and adopted across the organization. While this role does not formally supervise staff, it provides coordination, guidance, and influence across cross-functional teams to ensure communication goals are met.

Communications

Requires strong interpersonal communication skills, with the ability to present information clearly and respond effectively to questions from diverse audiences.

Requires ability to advise, influence, negotiate, and collaborate across teams with competing priorities.

Requires excellent written communication skills, including report writing, business correspondence, and instructional content development.

Requires knowledge of technical and professional communication principles, editing, quality assurance, accessibility standards, and multi-channel dissemination.Responsibilities Develop and implement comprehensive communications strategies and plans to support system implementations, enhancements, and organizational transitions.

Serve as a communications advisor to project teams by recommending messaging approaches, channels, timing, and audience segmentation.

Ensure consistent, accurate, and timely messaging across multiple platforms and stakeholder groups.

Translate complex technical concepts, system functionality, and business process changes into clear, user-focused communications.

Develop, edit, and publish a wide range of communications and training materials, including quick reference guides, FAQs, presentations, web content, job aids, and instructional documentation.

Collaborate with subject matter experts, business analysts, and technology teams to produce high-quality written and visual materials.

Support the design and development of training curricula and learning resources that reinforce key messages and promote adoption.

Apply best practices in grammar, style, accessibility, instructional design, and information architecture.

Partner with project management and functional teams to align communications activities with project milestones and timelines.

Support organizational readiness and adoption by reinforcing key messages and providing clarity around impacts, benefits, and expectations.

Coordinate communications activities across multiple groups and committees as needed.

Identify communication and training needs through stakeholder engagement, surveys, interviews, and collaboration with functional teams.

Define and track communication effectiveness metrics, gather feedback, and assess engagement and adoption trends.

Analyze data and reports to evaluate the quality and effectiveness of communication and training efforts.

Recommend improvements based on performance data, stakeholder feedback, and industry's best practices.

Maintain documentation and communication artifacts related to projects and initiatives.

Perform other duties as assigned.Required Qualifications 1-2 years of experience supporting communications, training, or change-related initiatives in a higher education or enterprise systems environment.

Strong written, verbal, presentation, and listening skills.

Demonstrated ability to work effectively in a fast-paced, evolving, and sometimes ambiguous environment.

Technical aptitude and ability to quickly learn enterprise systems and applications.Preferred Qualifications Experience working with a student information system or a technical product.

Background in training development, instructional design, or organizational communications.

Technical writing experience supporting system implementations or enterprise applications.Knowledge, Skills, & Abilities Knowledge of organizational change and communication principles and practices.

Skill in developing clear, audience-appropriate written communications.

Ability to collaborate effectively across functional and organizational boundaries.

Strong organizational, prioritization, and problem-solving skills.

Ability to manage multiple projects and deadlines simultaneously.

Ability to work independently, take initiative, and adapt quickly to change.

Knowledge of online content development, accessibility standards (including W3 guidelines), and digital communication tools.

This position is on-site Monday through Friday.

This is not a supervisory position.

This position does not have any financial responsibilities.

This position does not require a purchasing card (P-Card).

This position may travel 1% - 24% of the time to attend off-site meetings and/or training.
