Position Summary:

The Project Manager (PM) will be primarily responsible for the day-to-day coordination of grant activities and assisting the Project Director (PD), Project Coordinator (PC) and faculty with implementation and evaluation of the grant activities. In addition, the Project Manager will assist with coordination of work with PDs and sites, liaisons with practice partners and community clinical sites, data storage and security backup, assisting faculty in accurate, timely and efficient activities, assisting in database tracking regarding student clinical placement, confidential records, and budget management with audit trail. The PM will be responsible for financial recordkeeping, processing grant expenditures and reconciling the budget, assisting with HR hiring, ordering supplies/inventory/ maintenance, developing and maintaining a database to track the activities and outcomes, processing student traineeship applications, tracking data regarding trainings, tracking NPI numbers and post-graduation work status/area, tracking and assisting with coordinating preceptor training and continuing education hours, planning meetings and minutes, and handling regular communication with the PD, PC, staff, students and partners and assisting with evaluation activities. The PM will assist the PD with all grant reports.

Minimum Qualifications:

Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred Qualifications:

  • Bachelor’s degree in health-related field or business degree; experience with Excel, budget management, Banner, and students in higher education; excellent communication and interpersonal skills.

Key Responsibility:

Record Keeping and Information Management

Essential Tasks:

  • Develop and maintain database on a daily and weekly basis.
  • Assist with interim progress and close out grant reports. This is required for the grant funding agency and includes student applications, tracking student progress during the program and at least one year post graduation employment and NI numbers, student placements and activities, grant agency reports, reports to PD and other grant staff, working with PD and clinical coordinator for student placements.
  • Data storage and security backup, and securing audit trail and confidential records.
  • Develop and maintain a database to track the work plan outcomes including student and preceptor data, process student traineeship applications, and track grant data.
  • Maintain minutes of meetings, communicating with team members, students and clinical partners. The use of electronic methods is key to this role.
  • Timely, complete, accurate and professional work is expected, as is proactive planning for contingencies.

Key Responsibility:

Customer Service

Essential Tasks:

  • Customer service through program management including answering questions, serving as primary contact for program, recruitment activities, meeting PD and other grant faculty needs for information and implementation. This includes both verbal and written communication, media coverage and a variety of technology-based software and systems.
  • Will travel to clinical sites and HBCU’s, high schools and community organizations to recruit students into the programs. This may include daily and weekly meetings with the PD or other team members.
  • Excellent communication and interpersonal skills are key to this role.
  • Timely, complete, accurate and professional work is expected as well as good judgement in communications.

Coordinate Workflow

Essential Tasks:

  • Coordinate workflow through grant unit and team: assist with scheduling and calendaring activities including recruitment, student traineeship application announcements, selection and notification,
  • Coordination of work with PI/coPI and site partners,
  • Assisting faculty in accurate, timely and efficient activities,
  • Assisting in clinical placement record keeping with Clinical Placement Coordinator and grant team,
  • Coordinate tracking EDI, preceptor trainings and continuing education hours,
  • Plan meetings and assist with evaluation activities,
  • Excellent organizational skills are key to this role, as well as timely, complete, accurate and professional work.

Budget Management

Essential Tasks:

  • Budget management that is required for reporting to the granting agency and for implementation of grant activities.
  • Responsible for financial recordkeeping, processing grant expenditures using grant funds and reconciling the budget. This may include student stipends and tuition assistance, purchasing equipment, processing travel, faculty salary EPAFs with the research office or assistant dean for budget and operations.
  • Timely, complete, accurate and professional work is expected.
