Stanford University has an immediate opening for a new, fixed term, full-time Proctor Coordinator in the Office of Accessible Education (OAE), the department charged with facilitating reasonable accommodations for students with disabilities in all areas of academic and residential life. This position is integral in furthering accessibility and inclusion for students with disabilities on campus and working closely with campus partners to remove barriers to learning. Successful applicants will have an understanding of the university environment and possess excellent organizational and communication skills, and the ability to prioritize and complete assignments in a fast-paced environment.

Job Purpose

To coordinate and manage all aspects of exam proctoring services for students with disabilities who are registered with the Office of Accessible Education at Stanford University. The Proctor Coordinator is responsible for recruiting, hiring, training, and scheduling exam proctors for the Centralized Testing Center (CTC), ensuring academic integrity and equitable testing experiences for accommodated students. This position works in tandem with the OAE team and collaborates extensively with faculty, staff, and students to coordinate proctoring logistics, maintain the CTC's operations during evening hours, and uphold testing standards.

In This Role, You Will

  • Recruit, screen, interview, and hire graduate student proctors for the Centralized Testing Center in collaboration with the Accommodations and CTC Manager.
  • Oversee the daily scheduling of student proctors and coordinate shift assignments based on exam schedules for OAE registered students testing at the CTC. Confer with CTC team members & Accommodations & CTC Manager, as needed.
  • Serve as supervisor for student proctors and provide comprehensive individual and group training to student proctors on disability accommodations, FERPA, exam guidelines, academic integrity protocols, and departmental procedures.
  • Manage daily testing operations of the Centralized Testing Center during evening hours and provide regular updates to the Accommodations and CTC Manager.
    • Monitor exam sessions to ensure academic integrity and adherence to CTC policies
    • Address urgent, time-sensitive student issues at the CTC, including identifying students in crisis and referring them to appropriate resources
    • Instruct proctors on academic integrity policies, including how to monitor exams, identify potential Honor Code violations, and document incidents appropriately
    • Submit completed exams to faculty/teaching teams following CTC
    • exam policies and procedures
    • Deploy, test, and troubleshoot assistive technology used during exams (e.g., scrubbed laptops, large monitors, screen readers, etc.)
    • Conduct room checks to verify appropriate testing environments are maintained (e.g., quiet, distraction-free, proper accommodation implementation)
  • Create and maintain detailed exam and student records within OAE’s data management system in compliance with Federal, State, and institutional policies.
  • Respond to inquiries and provide advice to students, staff, and faculty about exam procedures, proctoring services, and assistive technology options.
  • Utilize professional judgment to initiate recommendations and resolutions for routine issues associated with proctoring and exam administration, while keeping the Accommodations and CTC Manager informed.
  • Serve as the first responder to urgent student needs during evening exam sessions (e.g., medical emergencies, severe test anxiety, technology failures) in collaboration with CTC Exam Proctors, while keeping the Accommodations and CTC Manager informed.
  • Analyze trends from student interactions and identify process gaps; develop recommendations and solutions to support smooth testing experiences in collaboration with other CTC team members.
  • Collaborate with the Accommodations & CTC Manager and other OAE team members to ensure seamless coordination of testing accommodations services.

Minimum Requirements

Education & Experience:

  • Bachelor’s degree and two years of relevant experience, or combination of education and relevant experience
  • Experience working with students with disabilities preferably in a higher education setting
  • Experience in hiring, training, and supervising student employees
  • Experience with exam proctoring and test administration

Knowledge, Skills And Abilities

  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office and Google Suite
  • Experience with online document storage solutions and Database Management Systems (e.g., AIM, Salesforce, Peoplesoft)
  • Knowledge of FERPA, ADA, Section 504, and other relevant disability-related legislation
  • Analytical and problem-solving skills with creative thinking ability
  • Exceptional customer service skills and ability to work effectively with diverse populations
  • Strong organizational skills with exceptional ability to prioritize competing demands and manage time effectively
  • Ability to meet multiple deadlines under pressure
  • Understanding of hiring requirements and financial transactions
  • Willingness to take on new challenges in a dynamic environment

Working Conditions

  • This is a hybrid position which requires 4-5 days of onsite work per week with occasional remote days
  • Primary work hours are 1:00 PM - 10:00 PM to support evening testing center operations
  • Additional hours may be scheduled as needed during peak examination periods
  • Weekend availability is seldom needed

Physical Requirements*:

  • Frequently sit, perform desk-based computer tasks
  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 25 pounds

The expected pay range for this position is $80,905 - $82,000 per annum.

Stanford University provides pay ranges representing its good faith estimate of the salary or hourly wage the university reasonably expects to pay for a position upon hire. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
