TLC Rail Services is seeking a dedicated Billing Specialist to join our dynamic team at our Wright City, OK facility. You'll ensure the accuracy, timeliness, and compliance of our billing processes for a variety of railcar services. What You'll Do:
- Invoice Management: Prepare, generate, and issue precise and timely invoices to our valued customers for services including railcar repair, cleaning, storage, valve repair, inspection, and transloading.
- Record Keeping & Data Entry: Meticulously maintain accurate billing records, customer information, and payment transactions. You'll enter billing data into company financial systems, customer portals, and update invoice tracking spreadsheets.
- Documentation & Compliance: Help generate work orders, assemble document packages for repairs, and manage all supporting documentation. Ensure all billing practices adhere to company policies, industry regulations (including AAR rules where applicable), and customer agreements.
- Collaboration & Communication: Liaise effectively with internal departments (Operations, Maintenance, Purchasing) to gather necessary billing information and resolve discrepancies. Communicate professionally with customers regarding billing inquiries and payment status.
- Financial Support: Assist in reconciling billing accounts, ensure proper coding on invoice line items, coordinate with Accounts Payable/Receivable, and monitor outstanding invoices.
What You'll Bring:
- Minimum of 2-3 years of experience in a billing, accounts receivable, or similar financial/administrative role.
- Strong proficiency in Microsoft Office Suite, particularly Excel (including formulas, pivot tables, VLOOKUPs).
- Experience with accounting or billing software.
- Exceptional attention to detail and a high degree of accuracy.
- Excellent organizational and time-management skills, with the ability to manage multiple tasks and meet deadlines.
- Strong analytical and problem-solving abilities.
- Effective written and verbal communication skills.
- Ability to work independently and as a collaborative team member.
- High level of integrity and professionalism.
- Ability to sit for extended periods and examine detailed technical documents.
Highly Desirable:
- Experience in the rail, transportation, or industrial services industry.
- Familiarity with AAR (Association of American Railroads) billing procedures, Railinc Data Exchange, AAR Office manual, UMLER, and/or RailcarRX is a significant plus.
