Position Title: Vendor Relations Operations Support Specialist

Work Location: Placerville and may be eligible for Hybrid work schedule.

POSITION SUMMARY: Under limited supervision, and in collaboration with various Vendor Relations specialist roles performs a wide variety of duties in support of and as backup for the various roles and functions of the the Vendor Relations department, including but not limited to: assisting with the vendor approval processes, Purchase Order Processing & Inquiries, placing orders for processed PO’s and related duties as assigned.
ESSENTIAL FUNCTIONS and RESPONSIBILITIES:
- Acts as backup and support in high volume times for each of the Vendor Relations teams’ specialist roles in high volume times or as needed.
- Import vendor application data from Google to internal database processes Purchase Orders using IF, TF and Admin funding, including Amazon and other high volume vendors
- Approves price increases on purchase orders if necessary
- Reviews PO requests for allowability under procurement rules as determined by the Administrator of Vendor Relations and the director team
- Interfaces with ESs, Advisors and vendors on PO Inquiries issues and to support resending of PO’s
- In collaboration with vendor specialist, reviews each vendor application for required elements, and process a vendor agreement if all requirements are met;
- Researches vendor websites and coordinate with vendor points of contact if additional application information is needed
- Assists with review of suggested Shopify catalog item additions for allowability, redundancy with existing catalog items, and frequency of ordering
- Supports creation of online orders entered on third-party websites to facilitate PO requests
- Participates in new vendor set-up meetings and training meetings
- Respond to vendor and teacher emails and phone calls daily
- Resolve misshipments as they are received in our office.
- Coordinate and communicate requests requiring timely responses with other Vendor Relation’s team members and internal/external contacts

MINIMUM QUALIFICATIONS:
Education: High School Diploma or equivalent
Experience: At least three (3) years of office/purchasing experience, or equivalent.

Additional Knowledge, Skills and Abilities:
- Proficient in Google Suite/email and exceptional organizational skills/established team player.
- Proficient in Microsoft Excel, including manipulation and formatting of data, and converting file types to CSV or other formats for import processes
- Must perform work with integrity and professionalism with colleagues at all levels
- Must be self-directed and have the ability to effectively manage multiple priorities and complete assignments within established time frames
- Communication skills (written and oral) to clearly, effectively and respectfully interact with diverse individuals; secure and/or provide information to clarify situations and resolve problems

- Proficient with email software, web applications, enterprise software, spreadsheet software (particularly Microsoft Excel), and word processing software
- Physical Demands: Requires frequent sitting, standing, walking, talking and hearing in a standard office setting. Specific vision abilities required by this job include close vision to read printed materials and a computer screen with the ability to adjust focus, in addition to distance vision used for driving purposes. Frequently lifts up to 30 pounds and occasionally lifts and/or moves up to 60 pounds. The noise level in the work environment is usually moderate.
