Substitute Teacher Coordinator

JOB SUMMARY The Operations Coordinator plays a critical role in ensuring the smooth daily functioning of the school by managing substitute teacher coverage and coordinating student transportation services. This position also provides front office and reception support as needed. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced school environment. RESPONSIBILITIES 1. Substitute Teacher Coordination - Manage daily substitute coverage for teacher and staff absences - Maintain and update substitute teacher pool and contact lists - Secure substitute coverage using internal systems - Ensure substitutes meet employment criteria - Communicate assignments, schedules, and expectations to substitutes - Coordinate with school leadership on coverage plans for unfilled absences - Track substitute usage and assist with reporting and payroll coordination 2. Student Transportation Coordination - Serve as primary liaison with transportation vendors and district partners - Coordinate daily bus routes, student assignments, and schedule changes - Respond to transportation-related family inquiries and concerns - Maintain accurate transportation records and compliance documentation - Support planning for field trips and special transportation needs - Monitor and communicate delays, cancellations, or service issues - Create and distribute bus passes (order bus pass supplies as needed) 3. Front Office / Reception Support Coverage (when necessary) - Provide back up coverage for reception desk as needed - Greet visitors, families, and students in a professional and welcoming manner - Answer and direct phone calls and general inquiries - Assist with attendance tracking and student sign-in/sign-out processes - Support general administrative tasks as assigned
