Firm Administrator – Financial Services

A well-established financial firm is seeking a versatile Firm Administrator who thrives on wearing many hats and takes pride in their work.

You’ll play a key role supporting our financial advisors, clients, and partner institutions. Responsibilities include (but are not limited to):
- Providing exceptional client service and administrative support
- Coordinating and scheduling meetings, travel, and special events
- Preparing materials for client and prospective client meetings
- Managing phone calls, greeting visitors, and maintaining a professional office presence
- Completing administrative processes including applications, compliance tasks, electronic filing, and data entry
- Maintaining accurate client data and records
Our ideal candidate is proactive, dependable, and thrives on helping others succeed.
- Required qualifications:
- 2 years of administrative experience (financial services or insurance experience a plus)
- Strong organizational, communication, and multitasking skills
- Exceptional attention to detail — accuracy is a must
- Professional appearance, positive attitude, and strong work ethic
- Ability to prioritize and complete tasks independently
- Proven customer service and interpersonal skills
- High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Access)
- Ability to handle sensitive information with absolute confidentiality and discretion
- High school diploma or equivalent required; college degree preferred
