Job Summary:-
We are seeking a Senior On-Site Service Specialist to provide professional onsite office and document services support in a fast-paced business environment. The ideal candidate will have strong customer service skills, good organizational abilities, attention to detail, and experience with mail processing, document imaging, copying, scanning, and office equipment.
This role will primarily focus on physical mail sorting and scanning into a delivery system, along with document imaging, office services, shipping and receiving, and general onsite support. The position may involve extended periods of standing, walking, bending, reaching, and lifting items up to 50 pounds.
Key Responsibilities:-
Process, sort, scan, and distribute incoming and outgoing mail.
Operate high-volume document imaging and scanning equipment.
Use document imaging software and established systems to process electronic files.
Open, save, transfer, and manage electronic files according to established procedures.
Access and maintain document management systems.
Operate high-volume copy machines and perform basic copying and finishing tasks.
Monitor copier and office equipment for proper operation and quality.
Clear basic paper jams and report equipment issues to appropriate technicians.
Maintain accurate records, service logs, inventory records, and management reports.
Distribute mail, office supplies, and other materials to designated locations.
Perform filing, document archiving, purging, and records organization as needed.
Assist with shipping and receiving of materials and supplies.
Respond to customer questions regarding service requests and job status.
Provide professional customer service and support to onsite employees and visitors.
Maintain clean, organized, and well-stocked copier and work areas.
Assist with meeting room and conference room setups as needed.
Perform various office and building support functions as assigned.
Complete assigned projects accurately while meeting deadlines and service expectations.
Handle confidential and sensitive documents with professionalism and discretion.
Work independently while collaborating effectively with team members.
Perform other related duties as assigned.
Qualifications:-
High school diploma or GED required.
1–2 years of experience in a related office services, administrative, customer service, mailroom, document processing, or similar role.
Previous experience with copy, scanning, document imaging, or mail processing is preferred.
Strong customer service and communication skills.
Good computer and Microsoft Office skills.
Strong organizational and prioritization abilities.
Good filing, recordkeeping, and attention-to-detail skills.
Ability to operate office machines and technical equipment.
Ability to understand and follow written and verbal instructions.
Strong troubleshooting and problem-solving skills.
Ability to work independently and manage multiple assignments.
