The Office Assistant supports the Title Department by performing administrative and clerical duties related to vehicle title processing, registration paperwork, and dealership documentation. This position helps ensure vehicle transactions are processed accurately and efficiently while providing exceptional service to customers, financial institutions, and dealership staff.
Essential Duties and Responsibilities
- Provide administrative support to the Title Clerk and Title Department staff.
- Scan, file, and maintain electronic and paper records in accordance with dealership policies.
- Answer incoming phone calls and assist customers, lenders, tag agencies, and internal staff with title-related inquiries.
- Prepare overnight mail, FedEx shipments, and outgoing correspondence.
- Track title location and follow up with lenders on missing titles or lien releases
- Maintain strict confidentiality of customer financial and personal information.
- Order office supplies and maintain an organized work area.
- Assist with special projects and other administrative duties as assigned.
- Audit incoming titles for accuracy and intake into title inventory.
- Create, log and file folders for anticipated incoming titles.
Qualifications
- High school diploma or GED required.
- Previous administrative, office, or customer service experience required.
- Automotive dealership or title processing experience preferred.
- Familiarity with dealership management systems (such as CDK, Reynolds & Reynolds, or Dealertrack) is a plus.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Strong organizational skills and attention to detail.
- Excellent communication and customer service skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Dependable, professional, and able to maintain confidentiality.
- Current/Active North Carolina Notary preferred.
Physical Requirements
- Prolonged periods of sitting and computer use.
- Occasional standing, walking, bending, and lifting up to 20 pounds.
- Ability to work in a fast-paced office environment.
Work Environment

- Frequent interaction with sales staff, finance managers, customers, lenders, and state motor vehicle agencies.
