About Impact Care Ohio
Impact Care Ohio provides quality services and supports to individuals with developmental disabilities throughout Ohio. We are looking for an organized, motivated, and people-focused HR & Administrative Coordinator to join our growing team.
This is a hands-on role that combines Human Resources, recruitment, training coordination, and office administration. If you enjoy working in a fast-paced environment, staying organized, and helping build a strong team, we'd love to hear from you.
What You'll DoHuman Resources & Recruiting
- Manage the hiring process from job posting through onboarding.
- Screen applicants, schedule interviews, and coordinate hiring with leadership and Area Managers.
- Complete background checks (BCI/FBI) and verify all pre-employment requirements.
- Prepare offer letters, onboarding paperwork, and new hire documentation.
- Maintain employee personnel files and ensure records remain accurate and audit-ready.
- Process employee status changes, including new hires, promotions, transfers, and separations.
- Assist with employee relations, disciplinary documentation, workers' compensation, unemployment claims, and leave requests.
Training & Compliance
- Coordinate required DODD training, CPR/First Aid, Medication Administration Training (MAT), and other mandatory certifications.
- Maintain employee certification and training records.
- Monitor expiration dates and schedule renewals before certifications lapse.
- Work closely with agency nurses and outside training providers.
- Ensure all training documentation meets Ohio DODD compliance standards.
Administrative Support
- Serve as the primary point of contact for the administrative office.
- Answer phones, respond to emails, and greet visitors professionally.
- Schedule meetings, trainings, and leadership appointments.
- Maintain office supplies, equipment, and vendor relationships.
- Prepare reports, correspondence, and organizational documents.
- Organize electronic and paper filing systems.
- Assist leadership with administrative projects and day-to-day operations.
Compliance Support
- Assist with internal audits of employee and client files.
- Help maintain agency licenses, certifications, and provider agreements.
- Support documentation required for DODD surveys and county board reviews.
- Maintain strict confidentiality of employee and client information in accordance with HIPAA and agency policies.
QualificationsRequired
- Associate's degree in Human Resources, Business Administration, Healthcare Administration, or related field or equivalent work experience.
- At least 2 years of experience in Human Resources, office administration, recruiting, or a similar role.
- Strong organizational and time-management skills.
- Excellent communication and customer service skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Ability to handle confidential information with professionalism.
- Ability to successfully complete Ohio BCI/FBI background checks.
Preferred
- Experience working for an Ohio DODD provider or healthcare organization.
- Knowledge of Ohio DODD regulations and training requirements.
- Experience with HRIS, applicant tracking systems, or employee management software.
- SHRM-CP, PHR, or other HR certification is a plus.
