Job Summary:
Responsible for greeting employees and guests visiting the office as well as answering all calls coming into the main phone line. Perform a variety of clerical and general office tasks in support of an assigned location. Work directly with employees and guests/callers to provide courteous, friendly and professional assistance. This hourly, non‑exempt position works with direct and indirect supervision.
Essential Functions
- Answer phones and greet guests while displaying outstanding manners and telephone etiquette to ensure customer service standards are adhered to.
- Office supply ordering for all locations as directed by Purchasing Director.
- Distribute incoming USPS mail and run outgoing mail including certified and registered mail.
- Maintain mail/supply room in orderly/organized fashion.
- Maintain postage machine, update postage rates, transfer funds, call for maintenance.
- Provide accurate and timely mail service for assigned locations including pickups, deliveries, distributing interoffice/project mail, and processing UPS/FedEx mailings.
- Perform general clerical duties including, but not limited to, copying, sorting mail, filing, general typing, data entry, folding and stuffing mailing projects.
- Maintain and order office/kitchen supplies for assigned location.
- Exercise proper care and maintenance of company equipment.
- Perform additional assignments per supervisor’s direction.
- Computers and Microsoft Office software.
- Work efficiently and complete tasks quickly and accurately.
- Take and follow directions.
- Learn and follow IA company policies and procedures.
- Typing, computer skills and knowledge of Microsoft Office.
- Must have effective interpersonal verbal and written communications skills.
- Must be or be willing to become a Public Notary.
- High school graduate or equivalent.
- Prefer education beyond high school.
- Prefer customer service and receptionist experience.
