Job Summary
Seeking an Archive Assistant to support the Records Management Center in Phoenix. This role is responsible for organizing, maintaining, retrieving, scanning, and digitizing confidential medical records while ensuring compliance with HIPAA and state/federal record retention regulations.
This is a warehouse-based records management position requiring excellent organizational skills, attention to detail, and the ability to handle physical files.
Key Responsibilities
- Organize, log, shelve, and maintain incoming medical records.
- Perform quality checks to ensure records comply with retention requirements.
- Retrieve and track records requested by authorized personnel.
- Scan, digitize, and archive member records.
- Box and prepare records for storage or secure destruction after digitization.
- Perform data entry and maintain accurate record logs.
- Support records management projects and special assignments.
- Perform general administrative duties including filing, typing, and operating office equipment.
- Ensure compliance with HIPAA and all applicable federal and state regulations.
Required Qualifications
- High School Diploma or GED.
- Minimum 1 year of experience in records management, document handling, or data entry.
- Strong computer skills, including experience with Google Workspace (Google Docs, Sheets, Gmail, etc.).
- Familiarity with HIPAA regulations and handling confidential records.
- Excellent organizational and time management skills.
- Ability to work independently with minimal supervision.
- Strong attention to detail.
Physical Requirements
- Ability to lift up to 50 lbs.
- Ability to bend, stand, and move throughout the workday (approximately 35–45% of the time).
- Comfortable working in a warehouse environment.
