Position Description

HGL is currently seeking an experienced Project Administrator (Administrative Assistant SCA) to support a Deactivation, Decommissioning, and Removal project for five buildings at the Lawrence Livermore National Laboratory (LLNL) project site in Livermore, CA. The duration of project is anticipated to be 5 ½ years. This position will be at the project site and will report directly to the Site Manager providing as-needed assistance to others in Site Lead roles as well. Typical duties will include but not be limited to maintaining project files and safety records, assisting with project supplies, procurements and requisitions, arranging meetings/conference calls, recording meeting minutes, and assisting in other project support assignments as needed. The successful candidate must have excellent proficiency in Microsoft Office Suite and be familiar with electronic file storage and retrieval platforms such as SharePoint. Strong interpersonal skills are required, including the ability to clearly and confidently communicate, both written and verbally, to all project team members including client representatives and regulators.

Responsibilities/Duties

What You'll Be Doing

  • Work with moderate supervision; accountable for individual results and impact on team.
  • Electronic and hard copy filing and records management maintenance.
  • Develop and compile weekly reports.
  • Schedule meetings/maintain calendars of onsite management personnel.
  • Correspond and coordinate with vendors for project supplies and invoicing.
  • Coordinate with internal company staff on procurement and requisitions.
  • Meet and escort visitors.
  • Take messages/record meeting minutes.
  • Assist with distribution of correspondence/documents amongst various project team members.

Required Skills

WHAT YOU NEED TO BE SUCCESSFUL

  • Minimum of five (5) years of relevant experience.
  • High School diploma required.
  • Highly motivated, organized, and detail oriented
  • Possess a strong work ethic.
  • Ability to maintain a high level of confidentiality.

Preferred Skills

WHAT YOU NEED TO STAND OUT – Preferred, not required

  • Prior experience working in a field environment at construction/demolition sites preferred.

This is a Service Contract Act (SCA) position. As an SCA-covered role, benefits and paid time off differ. Vacation is awarded annually on the employee's anniversary date, based on applicable Wage Determinations and project guidelines. Refer to our Careers Page for our list of benefits. Compensation for this position complies with the applicable US DOL Service Contract Act wages determination, including base pay and required fringe benefits.

This specific role supports a U.S. Federal government contract which requires employees engaged on this contract to be U.S. citizens.

The hourly rate for this position ranges from $48.62-$51.92 per hour. This position's final salary can be impacted by various factors including, but not limited to, contractual requirements, geographic location, job-related education, training, experience, and skills. If your desired salary falls outside of this range, we hope you'll still apply as there may be other positions that better align.

Salary : $49 - $52
