Key ResponsibilitiesCalendar Management & Scheduling: Manage complex calendars for multiple managers, including scheduling meetings, appointments, travel, and accommodations.Meeting & Travel Coordination: Arrange on-site and off-site meetings, including logistics, catering, and venue arrangements.Expense Processing: Process and reconcile travel and expense reports accurately and in a timely manner.Administrative Support: Prepare documents, handle correspondence, maintain files, and serve as a key point of contact for executives and staff.Office & Facility Management:Oversee maintenance of facilities, office equipment, and systems (directly or through vendors).Coordinate internal office moves and meeting setups.Relationship Management: Build and maintain strong working relationships with colleagues, administrative teams, and external partners.Compliance & Standards:Follow company policies, procedures, and safety standards.Support cost control, waste reduction, quality, and timely delivery goals.Customer Service: Deliver exceptional service to internal and external customers through clear, professional communication.Ad Hoc Projects: Assist with special projects and initiatives as assigned.Core Values: Demonstrate and promote the company’s Core Values — Service, Trust, Accountability, Respect, Safety (STARS).RequirementsLanguage: Bilingual in English and Spanish required.Technical Skills: Intermediate proficiency in MS Office Suite and Tower.Organization: Strong multitasking, prioritization, and time management abilities.Professionalism: Ability to work independently and handle confidential information discreetly.
