Executive Assistant - PT (30 hours/week) - Mother's Hours!
Location: St. Louis, MO (Clayton area)
Reports to: Founder/Director
Compensation: $30-$35/hour

We are seeking a highly organized, discreet, and proactive Executive Assistant to support our senior leadership team at our St. Louis headquarters. This is a dynamic, high-impact role offering exposure to executive decision-making, investor relations, and business operations.
Position OverviewThe Executive Assistant will serve as a trusted partner to senior leadership, providing high-level administrative, operational, and personal support. This role requires exceptional attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
Executive & Administrative Support
- Provide direct support to senior management to advance key initiatives
- Manage complex calendars, travel arrangements, and meeting coordination
- Lead weekly team meetings and oversee logistics for events and annual conferences
- Serve as the primary point of contact for office operations and vendor management
- Maintain CRM (Navatar), including relationship tracking and activity updates
- Coordinate board meeting logistics, including scheduling, communications, and setup
- Manage corporate documentation, website updates, and general office duties
- Provide personal assistant support to the Founder and family
Financial & Bookkeeping
- Manage full-cycle bookkeeping using QuickBooks Online (AP/AR, reconciliations, financial reporting)
- Oversee bank accounts, invoicing, bill pay, tax distributions, and wire transfers
Investor & HR Relations
- Support investor communications, including distribution of K-1s and capital raise materials
- Assist with document management and investor relations processes
- Oversee payroll administration, candidate assessments, and background checks
Office & Technology Management
- Coordinate office maintenance, vendor relationships, and IT support
- Provide basic troubleshooting for office equipment (phones, printers, computers)
- Maintain inventory of technology and office supplies
- Proven experience with QuickBooks Online and bookkeeping processes
- Proficiency in Microsoft Office and general office technology
- High level of discretion, integrity, and professionalism
- Strong organizational skills with exceptional attention to detail
- Excellent communication and interpersonal skills
- Ability to work independently and interact effectively with executives, investors, and team members
