A growing consulting firm is seeking a highly organized, proactive Executive Assistant to provide direct support to the CEO while serving as a key resource for daily office operations. The ideal candidate will have prior experience supporting senior executives within the finance or consulting industry, possess exceptional organizational and communication skills, and demonstrate the flexibility needed to anticipate the needs of a busy executive.
Responsibilities
- Provide comprehensive executive support to the CEO, managing a complex and frequently changing calendar
- Coordinate internal and external meetings, including scheduling, conference room setup, and logistics
- Arrange domestic and occasional travel, including flights, hotels, and itineraries
- Manage office operations to ensure a professional and efficient workplace
- Welcome and assist clients and visitors, serving as the first point of contact for the office
- Answer and direct incoming phone calls with professionalism and discretion
- Coordinate catered lunches and refreshments for meetings and events
- Prepare meeting materials and assist with follow-up on action items as needed
- Partner with internal teams to ensure seamless communication and coordination across the organization
- Handle confidential information with the highest level of professionalism and discretion
Qualifications
- 8–12 years of Executive Assistant experience supporting C-level executives
- Previous experience within the finance, investment, private equity, hedge fund, consulting, or professional services industry is preferred
- Proven experience managing complex executive calendars and shifting priorities
- Strong office management and administrative coordination skills
- Experience arranging executive travel and coordinating high-level meetings
- Comfortable interacting with executives, clients, and senior stakeholders
- Exceptional organizational, communication, and multitasking abilities
- High level of professionalism, discretion, and attention to detail
- Proficient with Microsoft Office Suite, Outlook, and virtual meeting platforms
