Our client a top VC Fund in NYC is seeking an Associate Director/VP of Middle Office Operations for their OCIO business. This person will come out of an RIA or existing OCIO business. Must be hands on and ready to grow the team.
Key Responsibilities:
Client and Custodial Onboarding
• Oversee client account onboarding, including coordination with custodians, documentation review, and account setup
• Ensure accurate account structure, investment guidelines, and operational readiness prior to portfolio implementation
• Coordinate with Client Solutions, Compliance, and custodians to ensure timely and accurate onboarding
Portfolio Onboarding and Implementation
• Manage operational implementation of new portfolios
• Coordinate with Investments, Client Solutions, custodians, and external managers to ensure timely execution
• Ensure portfolios are accurately established within portfolio accounting and reporting systems
Transaction Lifecycle Management
- Evaluate and implement an OMS platform together with Investment and Engineering
- Oversee processing and execution of subscriptions, redemptions, capital calls, and distributions
- Setup wire activity, approvals, and coordination with custodians and counterparties
- Maintain accurate transaction records and ensure adherence to internal controls and procedures
Reconciliation and Exception Management
• Monitor trade activity and coordinate with Accounting and custodians to resolve trade breaks and reconciliation discrepancies
Treasury Oversight and Cash Monitoring
• Maintain treasury tracking processes across client portfolios and firm-level accounts
• Support cash forecasting and liquidity planning in coordination with Client Solutions and Investments
• Monitor cash balances to ensure timely funding of investments and operational needs
Cash Management and Custodian Coordination
• Ensure the cash management workflows including sweeps, deposits, and funding of investment activity is established
• Coordinate closely with custodians and internal stakeholders to ensure accurate and timely cash movement
Process Improvement and Operational Excellence
• Develop, document, and enhance middle office procedures and operational workflows
• Identify opportunities to improve efficiency, scalability, and operational controls
• Ensure operational processes align with firm policies and regulatory requirements
Cross-Functional Collaboration
• Serve as a key operational liaison across Client Solutions, Investments, Accounting, Compliance, and external partners
• Support operational initiatives related to new clients, new strategies, and platform enhancements
• Maintain a high standard of professionalism and operational rigor in all activities
Experience / Required Qualifications:
• 6–10 years of direct middle office or investment operations experience at an RIA, OCIO provider, institutional asset manager, or wealth manager
• Direct experience supporting multi-asset class portfolios, including private investments
• Strong understanding of middle office functions, including onboarding, portfolio implementation, transaction processing, and cash management
• Experience managing subscriptions, redemptions, capital calls, distributions, and wire activity
• Familiarity with custodial platforms such as Schwab, Fidelity, BNY Mellon, State Street, or similar providers
• Experience supporting treasury tracking and cash oversight processes
• Strong operational, organizational, and problem-solving skills with attention to detail
• Ability to manage multiple priorities in a fast-paced, professional environment
• Strong written and verbal communication skills and ability to collaborate across teams
• Demonstrated commitment to accuracy, process discipline, and operational excellence
• Minimum education: BA/BS in Finance, Economics, Accounting, or related field
Preferred Qualifications:
• Experience working in an OCIO environment supporting institutional or ultra-high-net-worth clients
• Experience with portfolio accounting or reporting systems such as Addepar, Investran, Canoe, or similar
• Experience with alternative investment operations
• Prior leadership or supervisory experience
$150-200K base plus discretionary bonus
