About the Role
The Design Studio Coordinator is a hybrid operations and design-support position responsible for keeping our studio running smoothly across multiple active projects. The role combines field work, vendor coordination, and studio administration. The right candidate is highly organized, design-literate, and equally comfortable in the field with a tape measure or in the studio organizing material samples for client presentations.
This is a hybrid role with flexible scheduling — a mix of in-studio time at our Heber City office, on-site work at client homes and showrooms across northern Utah, and work-from-home days when administrative tasks allow. A typical day may include morning site measurements at a client residence, midday material pickups from a Salt Lake or Park City showroom, and afternoon studio or remote work organizing samples, processing vendor invoices, and supporting the design workflow.
A typical week includes:
• On-site measuring at client homes and project sites — floorplans, ceiling heights, window dimensions, existing conditions
• Material runs — picking up tile, fabric, hardware, lighting, paint, and finish samples from vendors and showrooms across the Park City / Heber / Salt Lake area
• Making purchases on behalf of the firm and our clients with company-card and clear approval workflows
• Gathering and organizing material samples for client design presentations
• Coordinating with vendors, contractors, and showrooms — building the relationships that secure better access and pricing
• Running client-facing errands when needed — gift drops, delivery coordination, last-minute pickups
• Calendar management, scheduling, and inbox triage for the executive team
• Processing invoices, expense receipts, and supporting our bookkeeper
• Maintaining project files, client folders, and CRM organization
• Coordinating site visits, deliveries, and installation days
You're a fit if you have:
• 2 years in design assistant, studio coordinator, executive assistant, or operations coordinator roles (design or architecture firm experience strongly preferred)
• A current driver's license and reliable vehicle — this role requires regular driving across northern Utah
• Spatial intelligence — you can read a tape measure, sketch a rough floorplan, and translate field measurements to paper accurately
• Exceptional attention to detail
• Strong written communication — you will write on behalf of the firm
• Proficiency with Google Workspace, Excel/Sheets, and the ability to learn new software (QuickBooks, project management platforms) quickly
• A bias toward action and ownership
• Genuine interest in design, architecture, materials, or the construction industry
Bonus qualifications:
• Prior experience in a design firm, architecture firm, or construction company
• Familiarity with measuring, drafting, or AutoCAD/Revit basics
• Existing relationships with showrooms in the Park City / Heber / Salt Lake area
• QuickBooks Online familiarity
• Light bookkeeping or AP/AR experience
• Social media or marketing coordination experience
