Shared Admin position
The candidate we seek is someone who can work in a job-sharing part-time position with another
office admin in a church office setting. Hope Lutheran will open in October. Two current
Lutheran churches in the area are closing and together opening Hope on the site of the Woburn
church. We are looking for someone familiar with Protestant churches and willing to collaborate
with another to fulfill the duties of the job.
The admin staff will report to the parish pastor. When needs are identified outside the scope of
the admin position, the admin staff should first notify the pastor. Parish leadership and
Personnel can be called upon if needed. The admin staff will receive regular feedback from the
parish pastor during weekly meetings as well as an annual review from personnel committee.
Personnel will remain available throughout the year as a resource to the admin staff if concerns
or questions of scope arise.
The 2 individuals job sharing the Hope Lutheran Admin position will collaborate with each other
and pastor to determine the fair and optimal division of duties. Job duties should be considered
fluid; good communication and a sense of shared responsibility will be key. Both candidates will
be crossed trained to help one another while at work and cover for each other as needed for
vacation or unexpected illness.
Admin will receive the equivalent of their worked hours per week for 2 weeks of vacation time
and 1 week of sick time. The admin will notify the pastor at least 4 weeks in advance of a
vacation day as well as the intent to take a sick day no later than the morning of the work day.
For ex: 25 hour weekly employee will receive 50 hours of vacation time annually and 25 hours
of sick time annually beginning at the time of the annual budget.
15 hour weekly employee will receive 30 hours of vacation time annually and 15 hours of sick
time annually beginning at the time of the annual budget.
Holidays: Christmas, New Years Day, Memorial Day, 4th of July, Labor Day, Thanksgiving
there will be no working hours. There can be flexibility within that week about when worked
hours can be completed.
Responsibilities:1. Phone coverage- live answering of phone message retrieval
2. Property management- Primary contact point during M-F business hours for property
needs, prepare monthly report and submit to the property committee, follow the
expenditure and vendor parameters provided. Schedule and attend the quarterly building
committee meeting: Coordinate with property committee rep, pastor, director of schools.
Maintain the vendor list with support from the Property committee. Verify CORI status
of workers/vendors working during school/church hours.
3. Property and Parish Calendars- maintain both of these calendars
4. Prepare and distribute weekly E News
5. Keep current with email office correspondence
6. Weekly bulletin insert prep
7. Seasonal worship booklet prep
8. Worship slide prep: projection/zoom document for the tech team
9. Manage US Mail: direct incoming mail and outgoing mail, utilizing the baskets for
officers of the congregation, pastor, schools etc.
10. Organizing CORI checks for staff and volunteers
11. Document storage: electronic and paper
12. Weekly meetings with pastor
13. Quarterly check-ins with personnel committee in the first year
14. Keep up-to-date documentation of Facility use and Rental agreements
15. Maintain vendor contracts and support renewal/bid process
Pay: $20.00 - $30.00 per hour
Expected hours: 15.0 per week
