Maintenance Coordinator

Hometown Property Management, Olympia, WA

Job Type: Full-time, Monday – Friday, 8am – 5pm

Pay: $3,500 – $4,000 per month, depending upon experience

Hometown Property Management provides experienced, professional leasing and property management services to residential property owners and home renters in Thurston County and surrounding areas. We are looking for a Maintenance Coordinator to join our team who will work with tenants, homeowners, vendors, and our maintenance staff to maintain the properties we manage.

This position works in the office and is responsible for, amongst other duties; overseeing maintenance requests, working in conjunction with our maintenance technicians to ensure smooth operations of the Maintenance Division, scheduling jobs for our maintenance technicians, intaking maintenance requests, assigning work to our Maintenance Division and other vendors, and following up on maintenance requests to ensure they are completed. You will also communicate with tenants and homeowners on a regular basis to determine the scope of work and get approval for necessary work. You will work as a part of our property management team, communicating with other staff and keep them updated on work progress, as necessary.

This position requires an enthusiastic skilled problem solver with extensive attention to detail and great communication skills. It is important to be able to communicate effectively through phone calls, email, and text messaging. The successful candidate for this role will have a strong command of the company’s policies and be well trained in our procedures which are critical for success.

The responsibilities of this position include, but are not limited to;

  • Gathering information for maintenance requests
  • Entering maintenance requests
  • Disbursing maintenance requests to vendors
  • Scheduling maintenance requests for our maintenance technicians
  • Following up on maintenance requests
  • Communicating with homeowners, tenants, and vendors concerning maintenance requests
  • Maintaining a high level of professionalism with clients and working to establish a positive rapport with every contact
  • Update client information in the client service database during and after each contact
  • Ensure administrative processes are being followed
  • Work with the management team to stay updated on product knowledge and be informed of any change in company policies
  • Assisting property owners, tenants, and fellow employees with questions and concerns
  • Gathering information from others to complete assigned tasks
  • Track and meet legally imposed, rigid deadlines
  • Communicating with property owners and tenants
  • Being part of the on-call rotation for night/weekend/holiday emergencies
  • Tracking tenant move-outs from lease end to re-rent and providing updates on status
  • Tracking move-out repairs and verifying documentation
  • Communicate and follow up with tenants and homeowners regarding inspection concerns
  • Monitoring and communicating HOA compliance

A qualified candidate will have;

  • Must be 18 years of age or older
  • High School Diploma
  • Excellent verbal and written communication skills
  • Keyboarding, with accuracy, 40 words per minute
  • Experience with cloud based information systems
  • Ability to remain professional and courteous with clients at all times
  • Must be available to work occasional nights, holidays, and weekends
