We are growing and looking for a detail-oriented Office Coordinator to support daily operations.
Position Overview
The Office Coordinator plays a key role in supporting administrative operations, scheduling, customer communication, and program coordination. This is an on-site role that requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative & Operations Support
- Manage incoming calls, emails, and customer inquiries
- Support daily office operations and administrative tasks
- Maintain organized documentation and customer records
Program Coordination & Scheduling
- Weatherization scheduling and coordination
- Intake processing and client onboarding
- Assist with Eplus program coordination
- Track and update project timelines and status
Permitting & Documentation
- Assist with permits and required documentation
- Ensure files are complete and compliant
- Support invoicing preparation and documentation review
Inventory & Office Support
- Assist with inventory tracking and ordering
- Coordinate office supplies and operational needs
Customer Communication
- Communicate with clients regarding appointments and updates
- Provide professional customer service and follow-ups
Qualifications
- Strong organizational and multitasking skills
- Excellent communication and customer service skills
- Basic to intermediate Microsoft Excel experience
- Ability to work in a fast-paced environment
- Bilingual English/Spanish preferred
- Salesforce or CRM experience preferred
