Summary:
The Administrative Assistant provides support to two AmeriCorps Programs - the Senior Companion Program and the Foster Grandparent Program - for King and Snohomish Counties. The Foster Grandparent Program provides older adult mentors at community locations, such as schools and daycares. Senior Companion Program volunteers help older adults stay independent longer and provide weekly visits to help them feel connected. The Administrative Assistant maintains records for both programs.
Essential Duties and Responsibilities:
- Processes and tracks monthly volunteer stipends, mileage, and meal reimbursements and enters invoices into Concur.
- Provides the Finance Department with monthly reports of volunteer hours, outstanding timesheets with estimates, and in-kind contributions, as well as monthly volunteer hours on both programs. Assists Coordinators with volunteer paperwork.
- Prepares packets for monthly meetings, including training materials, calendars, and timesheets.
- Updates Volunteer Reporter and maintains the volunteer management database.
- Prepares statistical data for tracking purposes
- Attends weekly AmeriCorps Team meetings
- Records minutes for meetings
- Prepares mailings as needed
- Assist with monthly volunteer meetings
- Assist with planning and attending special events
- Outreach to include phone calls, recruiting events and presentations
- Other duties as assigned

Qualifications:Minimum Qualifications:
- High School diploma or equivalent and two years' experience as an administrative assistant or equivalent
- Intermediate computer skills that include Word, Excel and PowerPoint
- Detail orientated with math computation proficiency
- Demonstrated ability to work with older adults
- Organized and able to manage multiple tasks/projects
- Communicates effectively via phone, in person, and in writing.
- Problem solves and works well under deadlines.

Preferred Qualifications:
- General knowledge of the aging process and two years full-time paid or volunteer experience working with older adults
- Prior experience working in a team environment
- Experience working with diverse public and coworkers
Work Environment and Physical Demands:
- This is a hybrid position and requires a minimum of 3 days per week in the office. During the first month of training, 100% in-office work is required to train with the AmeriCorps Lead.
- This work is performed in an office environment, staff's place of residence, and in public venues.
- Work in a semi-open office setting with frequent in-person interactions

SUMMARY OF BENEFITS
Employees working 25 hours or more are eligible to enroll in medical, dental, vision, basic life, and critical illness insurance, with an increased cost share for employees scheduled for 25-29 hours/week. Employees working 20 hours or more per week receive 11 designated paid holidays plus 2 "floating holidays" per year, as well as paid vacation and sick time. Employees age 21 and older are able to enroll in our 401K plan upon hire and, after one year and at least 1000 hours worked, will be eligible for our matching program.
