What are the responsibilities and job description for the Administrative Assistant / Bookkeeper position at Holly Property Management?
We’re looking for a detail-oriented Administrative Assistant/Bookkeeper to keep our office running smoothly and our books accurate. You’ll own day-to-day admin tasks, basic HR support, and full-cycle bookkeeping in coordination with our CPA Firm.
What You’ll Do
- · Bookkeeping (60%)
- Record and categorize transactions; reconcile bank/credit card accounts monthly
- Manage A/P and A/R (vendor bills, employee reimbursements, customer invoicing, collections)
- Process payroll and maintain payroll records; file payroll taxes (with CPA as needed)
- Prepare month-end close tasks (journal entries, accruals, prepaids) and generate financial reports (P&L, Balance Sheet, Cash Flow)
- Maintain accurate chart of accounts; assist with annual budgeting and audit/tax prep
- · Administrative (40%)
- Calendar, email, and meeting coordination; draft memos and maintain digital files
- Greet visitors; answer phones; manage office supplies and vendor relationships
- Support onboarding/offboarding (checklists, paperwork, credentials) Document and improve office processes; handle miscellaneous projects as needed
What You’ll Bring
- 2 years in a combined admin and bookkeeping role (small business experience a plus)
- · Proficiency with QuickBooks [Online/Desktop] (or similar), Excel/Google Sheets, and basic payroll platforms (e.g., Gusto, ADP, Paychex, QuickBooks Payroll)
- · Understanding of GAAP basics: accruals, reconciliations, and month-end close
- · Strong organization, confidentiality, and follow-through; excellent written communication
Nice to Have
- Experience with [industry software—Shopify, Bill.com, Expensify, Stripe, CRM, project tools]
- · Associate’s/Bachelor’s in Accounting, Finance, or Business; or relevant certification (e.g., QuickBooks ProAdvisor)
- · Familiarity with sales/use tax filings and 1099s
