Duties

- Answer multi-line phone systems promptly and courteously, directing calls efficiently using proper phone etiquette
- Manage appointment scheduling and calendar coordination for staff and executives using Google Workspace or Microsoft Office tools
- Handle incoming and outgoing correspondence, including emails, mail, and packages, with accuracy and timeliness
- Maintain organized filing systems, data entry records, and ensure all documentation is proofread for accuracy
- Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when needed
- Support office management tasks such as ordering supplies, managing office equipment, and coordinating maintenance requests
Requirements
- Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent customer service skills with the ability to handle inquiries professionally in person or over the phone
- Strong typing skills combined with effective time management to prioritize tasks efficiently
- Bilingual abilities are highly desirable to serve diverse clients and staff effectively
- Experience with multi-line phone systems, data entry, filing, and proofreading is preferred
- Knowledge of office management practices such as calendar management, appointment scheduling, and basic bookkeeping (QuickBooks experience is a plus)
- Personal assistant or medical/dental receptionist experience is advantageous but not required
