  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Answer multi-line phone systems efficiently, directing calls accurately and courteously
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain accurate records and support office operations
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by addressing inquiries, providing information, and resolving issues with excellent phone etiquette
  • Assist with clerical duties including typing, proofreading, filing, and maintaining organized records for smooth daily operations

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Previous clerical or administrative experience in a customer service environment is advantageous
  • Familiarity with office management tools such as calendar management software or data entry platforms like QuickBooks is a plus
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Personal assistant or medical/dental receptionist experience is beneficial but not required; training will be provided for specific industry needs
