Job Summary
We are seeking a professional and organized Front Desk Receptionist to serve as the first point of contact for our office. The ideal candidate will possess excellent customer service skills, strong organizational abilities, and proficiency with office management tools. This role involves managing multi-line phone systems, scheduling, data entry, and providing administrative support to ensure smooth daily operations. Bilingual skills are a plus, and prior office or clerical experience is preferred. The Front Desk Receptionist will play a vital role in maintaining a welcoming environment and supporting the overall efficiency of our office.

Duties

  • Greet visitors and clients in a friendly, professional manner
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendar appointments using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain organized records
  • Handle incoming and outgoing correspondence, including emails and mail distribution
  • Assist with office management tasks such as supply inventory and document proofreading
  • Utilize QuickBooks for basic bookkeeping tasks when necessary
  • Provide exceptional customer service support to clients and visitors
  • Support administrative functions like typing, proofreading, and maintaining accurate records
  • Ensure the reception area remains tidy and welcoming at all times

Qualifications

  • Proven experience in office management, clerical work, or as a receptionist
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Experience with multi-line phone systems and phone etiquette
  • Familiarity with QuickBooks or bookkeeping is a plus
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Excellent organizational skills with attention to detail
  • Ability to handle multiple tasks efficiently in a fast-paced environment
  • Strong communication skills both verbal and written
  • Previous experience in medical or dental reception is advantageous but not required
  • Demonstrated time management skills with the ability to prioritize effectively

Job Types: Full-time, Part-time

Pay: $10.75 - $12.00 per hour
