Role Purpose
The Accounting Specialist supports the day-to-day accounting operations of the Family Office serving a multi-generational ownership family with interests in an automotive dealership group and related real estate investments. This role is responsible for executing core accounting processes, maintaining accurate financial records across multiple entities, and supporting financial reporting and cash management activities. The position plays a critical role in ensuring financial accuracy, organization, and timely processing within a highly confidential family office environment.
Core Accountabilities
General Accounting
- Record and maintain financial transactions for family office entities, LLCs, and related accounts
- Prepare and post journal entries as needed
- Maintain general ledger accuracy and supporting documentation
- Assist with month-end and year-end close processes
- Monitor account activity and investigate discrepancies
Accounts Payable & Expense Management
- Process invoices, reimbursements, and recurring payments for family members
- Maintain vendor records and payment schedules
- Ensure proper coding and documentation of expenses
- Coordinate approval workflows for payments
- Assist with credit card reconciliation and expense tracking
Cash Management
- Prepare and enter bank deposits daily
- Monitor cash balances across accounts
- Assist with transfers and payment execution under established controls
- Maintain transaction logs and audit-ready records
- Support liquidity tracking and reporting requests
Financial Reporting Support
- Assist in preparation of financial summaries, balance sheets and reporting packages
- Compile documentation for internal reporting and external advisors
- Maintain organized electronic filing systems for financial records
- Support audit and tax preparation requests
Tax & Compliance Support
- Organize financial records required for tax preparation
- Assist with tracking deductible expenses and supporting documentation
- Coordinate information requests from CPAs and advisors
- Maintain compliance calendars for filings and renewals
Administrative Support
- Provide accounting related administrative support administrative support to the family office, including electronic filing, data entry and maintenance of family accounts, and other administrative tasks – i.e. ordering bank related products. Special projects as identified.
- Organizing and maintaining financial and operational records, including invoices, receipts, formation/tax documents and other similar documents as part of the family office permanent records.
Competencies and Qualifications
- Associate or Bachelor’s degree in Accounting, Finance, or related field preferred
- 3–5 years of accounting or bookkeeping experience
- Experience managing multiple entities or complex account structures preferred
- Familiarity with general ledger accounting and reconciliations
- Strong proficiency in Microsoft Excel and QuickBooks accounting software
- Experience working with confidential financial information
- Strong attention to detail and accuracy
- High level of organization and documentation discipline
