Job Title: Administrative Support Specialist – Document Processing
Location: 6905 Rockledge Dr, Bethesda, MD 20817 (On-site / Hybrid options available)

We are looking for a detail-oriented and friendly Administrative Support Specialist to join our team at HMSHost Corporation in Bethesda, MD. In this role, you will help us process and manage documents that support our restaurant operations across North America. What You'll Do (Document & Administrative Focus)
Document Processing & Management
Process incoming documents – scan, label, and file vendor contracts, lease agreements, and operational reports into our digital system
Review documents for accuracy – check for missing signatures, dates, and required fields before filing
Maintain organized digital folders – rename files, create new folders, and ensure everything is easy to find
Update tracking spreadsheets in Excel – log document status, filing dates, and locations
Assist with document retrieval – find and share documents when colleagues in HR, Finance, or Operations need them
Communication & Team Support
Answer phone calls – respond to questions from other departments about document status or filing procedures
Respond to emails – help colleagues locate documents, answer basic questions, or forward requests to the right person
Work closely with HR, Finance, and Legal teams – support them with document processing and administrative tasks
Data Entry & Record Keeping
Enter data into our HRMS and document management systems – type employee information, contract details, and vendor data
Maintain accurate records – ensure all documents are filed correctly and can be found quickly
Run simple reports from the system – pull lists of documents filed this week or track pending items
General Administrative Support
Order office supplies – keep track of paper, toner, folders, and other essentials
Assist with new hire onboarding – help prepare orientation packets and file new employee paperwork
Support special projects – help the team with document audits, file clean-ups, or other tasks as needed
What We're Looking For
Requirements:
1 year experience in administrative support, document processing, data entry, or office clerical work
Strong computer skills – Microsoft Excel (data entry, sorting, basic formulas), Outlook, and Word
Fast and accurate typing – for data entry and document labeling
Professional phone and email communication skills
High attention to detail – you notice when something is missing or incorrect
US work authorization – no visa sponsorship available
Nice to Have (Not Required):
Experience with document management systems or HRMS software
Previous experience in hospitality, food & beverage, or retail industries
Pay: $22.00 - $27.00 per hour
