Position Overview

The Insurance & Front Office Manager will oversee the daily front office operations while

serving as the primary insurance coordinator for the practice. This position is responsible for

ensuring efficient patient scheduling, insurance verification, claims processing, treatment

coordination, collections, and overall front office management.


This role is ideal for someone with extensive experience in dental insurance billing, PPO

credentialing, revenue cycle management, patient financial coordination, and delivering

outstanding customer service.


As one of the first team members of our growing practice, you'll have the opportunity to

establish office systems, improve workflows, and make a meaningful impact on the success of

the clinic.


While a dedicated dental assistant will be on staff, candidates with dental assisting knowledge or

experience are preferred and may occasionally provide clinical support when needed.


Responsibilities

Insurance & Revenue Cycle Management

  • Verify dental insurance eligibility, benefits, limitations, and frequencies.
  • Obtain pre-authorizations and predeterminations when required.
  • Submit accurate electronic insurance claims in a timely manner.
  • Follow up on outstanding insurance claims and resolve denied or delayed claims.
  • Review Explanation of Benefits (EOBs) and post insurance payments accurately.
  • Manage insurance aging reports and accounts receivable.
  • Process patient payments and maintain accurate financial records.
  • Understand PPO fee schedules and maximize insurance reimbursement.
  • Coordinate with insurance companies regarding eligibility, claim status, appeals, and

payment discrepancies.

  • Maintain compliance with insurance billing regulations and office protocols.


Treatment Coordination

  • Present treatment plans professionally and confidently.
  • Explain recommended treatment, insurance benefits, and estimated patient

responsibility.

  • Review payment options and financial arrangements with patients.
  • Help patients understand the value of recommended dental treatment.
  • Coordinate referrals with specialists when necessary.
  • Follow up on unscheduled treatment to improve case acceptance.


Front Office Operations

  • Answer incoming phone calls professionally and courteously.
  • Schedule appointments efficiently to maximize doctor productivity.
  • Confirm appointments and manage patient recalls.
  • Welcome patients and provide exceptional customer service.
  • Register new patients and maintain accurate patient records.
  • Utilize CareStack to manage scheduling, documentation, insurance, and patient

communications.

  • Coordinate communication with specialists, laboratories, insurance companies, and

referring providers.

  • Manage daily patient flow to ensure an organized and efficient schedule.
  • Ensuring insurance claims are submitted accurately and paid promptly.
  • Helping patients understand their insurance benefits and treatment options.
  • Creating an exceptional patient experience from the first phone call through treatment

completion.

  • Contributing to the long-term growth and success of the practice.


Administrative Responsibilities

  • Maintain an organized and efficient front office.
  • Assist with inventory management and ordering office supplies.
  • Support compliance with office policies, HIPAA regulations, OSHA standards, and infection control protocols.
  • Assist with preparing reports and administrative documentation as requested.
  • Help establish and improve front office systems, workflows, and standard operating

procedures.

  • Support the dentist and management team with operational and administrative

initiatives.

  • Identify opportunities to improve workflow, patient satisfaction, and office efficiency.


Clinical Support (Occasional)


Although a dedicated Dental Assistant will be part of the team, candidates with clinical

experience are highly valued and may occasionally assist when additional support is needed.


Responsibilities may include:

  • Understanding basic dental assisting procedures.
  • Assisting the dentist during treatment when necessary.
  • Taking digital radiographs (if properly licensed in California).
  • Preparing treatment rooms before and after procedures.
  • Following OSHA, CDC, and infection control protocols.
  • Assisting with sterilization and instrument organization as needed.


Required Qualifications

  • Minimum of 3 years of dental front office experience.
  • Strong experience with:

PPO insurance verification

Insurance billing and electronic claim submission

Insurance follow-up and appeals

Accounts receivable management

Treatment plan presentation


Patient financial coordination

  • Excellent knowledge of dental terminology and CDT coding.
  • Strong communication, organizational, and multitasking skills.
  • Professional, dependable, detail-oriented, and customer-focused.
  • Ability to work independently while collaborating effectively with the dental team.


Preferred Qualifications

  • Dental assisting experience or Registered Dental Assistant (RDA) certification.
  • Knowledge of California PPO insurance plans and reimbursement processes.
  • Experience working in a startup or rapidly growing dental practice.

  • Taking initiative to solve problems independently while communicating effectively with

the team.

  • Contributing ideas that improve workflow, patient satisfaction, and operational

efficiency.
