Job Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience with office management systems such as QuickBooks, Microsoft Office, and Google Workspace is highly desirable. Bilingual abilities are a plus, enabling effective communication with a diverse clientele.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and maintaining professional phone etiquette
- Schedule appointments and manage calendars using office management software
- Perform data entry, filing, and maintain accurate records
- Handle incoming and outgoing correspondence via email and postal mail
- Assist with billing, bookkeeping, and basic office accounting tasks using QuickBooks or similar software
- Support administrative tasks such as proofreading documents, organizing files, and managing office supplies
- Provide excellent customer support by addressing inquiries promptly and professionally
- Coordinate with other departments to ensure smooth office operations
- Maintain a clean and organized reception area
Qualifications
- Proven experience in office management, clerical work, or administrative support
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Ability to handle multiple priorities with strong organizational skills and time management
- Bilingual abilities are preferred to serve diverse clients effectively
- Previous experience in medical or dental receptionist roles is advantageous but not required
- Familiarity with QuickBooks, bookkeeping, calendar management, proofreading, and personal assistant duties is a plus
- Excellent customer service skills with a professional demeanor
- High school diploma or equivalent; additional certifications in office administration or related fields are beneficial
