West Volusia Family and Sports Medicine is a growing primary care practice seeking a detail-oriented and patient-focused professional to serve in a dual role as a Medical Receptionist and Collections Specialist. This position supports both front office operations and revenue cycle management, with responsibilities split between collections work in the morning and front desk/closing duties in the afternoon.
Key Responsibilities:
- Perform collections activities during the morning hours, including:
- Monitoring and maintaining up-to-date patient account records within the electronic medical records (EMR) system
- Reviewing accounts in arrears and taking appropriate action
- Contacting patients regarding overdue balances via phone or mail, with timely follow-up
- Investigating reasons for non-payment and resolving payment issues
- Negotiating payment arrangements and collecting outstanding balances
- Providing detailed account reconciliations and patient statements
- Processing payments and refunds accurately
- Tracing and locating patients as necessary
- Maintaining detailed documentation of all collection efforts in compliance with applicable laws and regulations
- Preparing reports related to collection activities
- Recommending further action or discontinuation of services when necessary
- Transition to front office responsibilities in the afternoon, including:
- Greet patients upon arrival and provide excellent customer service in person and over the phone
- Register new patients and update demographics for existing patients
- Perform administrative tasks to support medical staff and daily operations
- Handle patient inquiries and complaints with professionalism, tact, and a focus on positive resolution
- Close the medical office at the end of the day, ensuring all front desk tasks and patient needs are completed
Skills and Qualifications:
- Strong organizational, clerical, and administrative skills with high attention to detail and accuracy
- Ability to manage multiple responsibilities and thrive in a fast-paced environment
- Proficiency in computer systems, including EMR platforms and data management tools (experience with eClinicalWorks is a plus)
- Familiarity with medical terminology and healthcare procedures
- Strong customer service skills with the ability to understand and respond to patient needs
- Investigative and problem-solving abilities related to account resolution
- Reliable, punctual, and flexible with scheduling
Education and Experience:
- Minimum of 1 year of experience in a medical office or healthcare administration role
- 1–2 years of experience in collections, accounts receivable, or medical billing preferred
