What are the responsibilities and job description for the Clinic Scheduler position at HIGHLAND DISTRICT HOSPITAL?
The Outpatient Scheduler is responsible for performing all duties and standards within this job description will be performed according to the established policies, procedures and guidelines outlined in the department and organization wide policy and procedure manuals.
- Schedules patient appointments according to established protocols and obtains the necessary information for new patients and established patients.
- Correctly enters/updates patient information, including demographics and insurance.
- Assumes telephone responsibilities; answers telephone promptly and professionally using a pleasant voice; records request for appointments for new patients, follow-up patients, and cancellations; helps notify patients of any time change due to cancellations or delay in schedule; relays information to appropriate staff members or physician promptly; keeps staff informed of messages.
- Possesses a sense of responsibility, initiative, and honesty. She/He has the ability to follow directions accurately. Has the ability to function under pressure and during emergencies. Has the desire and ability to cooperate with others. Maintains high ethical standards. Is very organized and possesses good communication skills and good computer skills.
- Be able to work flexible hours.
- Completes annual skills validation, maintains competencies and education per Department/Hospital policy.
- Maintain a safe and neat work area.
- Maintains current schedules.
- Maintain patient’s rights and privacy.
- Will assist with patient activities as assigned.

- Practices quality service as evidenced through QI results and patient satisfaction.
- Maintain supplies and report malfunctioning equipment.
- Attends 75% of staff meetings to maintain awareness of updated activities of the department and unit.
- Organizes all schedules; works closely with physician office staff to eliminate schedule difficulties.
- Maintains confidentiality; follows hospital dress code; adheres to safety policies; works with health team members; participates in in-service education.

High School graduate or equivalent. Completion of orientation program and attends departmental in-services. Should be physically and emotionally able to handle irregular hours and weekends with minimal absences. He/She must also have sufficient hearing and vision to carry out clerical duties. The position requires the successful completion of a medical examination after offer of hire has been made. The position requires the employee to be free of all unlawful substances and alcohol.
