What are the responsibilities and job description for the Project Administrator position at High Plains Steel Services, LLC?
Be the Backbone That Keeps Projects Moving
Imagine walking into a role where organization matters, details matter, and the work you do every day directly impacts the success of projects that will stand for decades. At High Plains Steel Services, we build more than steel structures. We build trust, excellence, and strong relationships through disciplined execution, clear communication, and people who take ownership of their work.
High Plains is looking for our next Project Administrator to join our team. If you're the kind of person who thrives on organization, follows through without being asked, and takes pride in keeping projects running smoothly behind the scenes, this could be the opportunity you've been looking for.
Why You'll Love Working at High Plains
We're proud of our work and how we do it. Our projects move fast, but so does our commitment to supporting one another and doing things the right way.
Give a Damn
We're all in. We stay ahead of problems, follow through on commitments, and take pride in the details that keep projects moving.
Build Trust
We build real relationships through clear communication, reliability, and doing what we say we'll do.
Stand Behind the Work
We take ownership, solve problems, and continuously improve because our reputation depends on it.
At High Plains, you'll have the tools, systems, and support to do your best work while playing a critical role in helping projects stay organized, compliant, and on track.
What You Can Expect From Day One
This isn't a typical administrative position. It's a role for someone who enjoys keeping moving parts aligned, staying organized under pressure, and making sure important details never fall through the cracks.
You'll maintain project documentation, tracking systems, and communication channels.
You'll draft, track, and organize RFIs, change orders, transmittals, inspection records, NCRs, and project documentation.
You'll coordinate communication between Project Managers, customers, subcontractors, vendors, and internal teams.
You'll help maintain project schedules, inspection tracking, sign-offs, and workflow alignment.
You'll compile closeout documentation and ensure project records remain organized, complete, and accessible.
You'll identify gaps, improve administrative workflows, and strengthen project tracking systems.
You'll become a trusted source of accurate project information that teams rely on every day.
Who Shouldn't Apply
We're committed to excellence, which means this role isn't for everyone. You won't thrive here if:
You struggle to stay organized or maintain accurate records.
You wait for reminders instead of following up proactively.
You frequently miss deadlines or lose track of details.
You avoid ownership when problems arise.
You become overwhelmed managing multiple priorities at once.
You prefer reactive work environments instead of staying ahead of issues.
You don't enjoy working with systems, documentation, and process improvement.
What You Need To Succeed As a Project Administrator
1 years of experience supporting construction projects, project management teams, document control, or project coordination activities preferred.
Strong organizational skills and exceptional attention to detail.
Experience managing project documentation, schedules, logs, or administrative workflows.
Proficiency with Microsoft Office, Excel, Microsoft Teams, and digital document management systems.
Strong written and verbal communication skills.
Ability to manage multiple priorities while maintaining accuracy and follow-through.
Experience in construction, steel fabrication, manufacturing, or industrial project environments preferred.
Experience with project management, document control, or ERP software such as Tekla EPM, Procore, Viewpoint, or similar systems preferred.
Ability to maintain confidentiality and professional communication standards.
Must be legally authorized to work in the United States.
What You'll Get In Exchange For Your Hard Work
We take care of our team the same way we take care of our projects--with quality, reliability, and integrity.
Pay Range: $50,000 to $70,000 per year, depending on experience
Health Insurance: Medical, dental, and vision plans
Retirement: 401(k) with company match
Time Off: Generous PTO
Career Growth: Professional development and advancement opportunities
