Role Description
This is a full-time, on-site role based in Waukegan, IL, for a Documentation Specialist. The Documentation Specialist is responsible for developing, organizing, and maintaining all documentation related to manufacturing processes, quality programs, safety protocols, and operational procedures within a food-manufacturing environment. This role plays a key part in ensuring documents are accurate, current, well-controlled, and compliant with internal standards, customer requirements, and regulatory expectations. The ideal candidate is detail-oriented, highly organized, and able to work collaboratively across departments - including Quality, Production, R&D, and Purchasing - to support a seamless and effective document control system.
Essential Duties and Responsibilities:
- Create, revise, issue, and manage documentation related to manufacturing operations and quality systems.
- Maintain both electronic and physical document control systems, ensuring accuracy, traceability, version control, and proper archival.
- Coordinate routing and approvals for new or revised documents; ensure all obsolete versions are removed from circulation.
- Serve as a key support resource during internal, customer, and third-party audits by compiling, preparing, and delivering requested records.
- Verify that documentation meets company standards, regulatory requirements, and customer specifications.
- Act as the point person for conducting traceability exercises and supporting mock recalls.
- Manage document change requests, ensuring all updates are reviewed, authorized, and implemented correctly.
- Oversee and maintain documentation connected to certification and claims programs, including Organic, Kosher, Gluten-Free, and Halal.
- Create and maintain Bills of Materials (BOMs) in the ERP system to support production accuracy.
- Participate in continuous improvement initiatives to enhance documentation effectiveness and overall Quality System performance.
- Perform other duties as assigned to support departmental and organizational objectives.
Qualifications
- 1–2 years of relevant experience in document control, quality assurance, regulatory, or food manufacturing; or an equivalent combination of education and experience
- High school diploma or equivalent required; additional coursework or training in food safety or quality systems preferred
- HACCP certification (required or must be obtained within a defined timeframe, depending on company policy)
- Strong written and verbal communication skills, with excellent attention to detail and accuracy
- Ability to read, write, and communicate effectively in English
- Ability to travel between all Henry Broch locations.
- Demonstrated commitment to learning, following, and promoting Good Manufacturing Practices (GMPs)
Physical Requirements and Working Conditions
- Primarily based in an office/cubicle environment within a food manufacturing facility.
- Majority of work performed while seated at a computer workstation using standard office equipment (computer, phone, copier, printer).
- May occasionally enter production areas to retrieve or verify documentation.
- May be exposed to varying temperatures, humidity, and moderate noise levels when in production areas.
- Required to wear appropriate PPE when entering production areas.
- Ability to sit, stand, walk, and move for extended periods.
- Ability to lift and carry up to 50 pounds when necessary.

Pay Range and Benefits
Pay Range: $45,000.00-$62,000.00 annually depending on relevant experience and qualifications.
