The Human Resources Administrator will provide administrative support to the HR, Finance, IT, and Purchasing departments, through a variety of tasks and responsibilities in recruiting, purchase orders, invoice tracking and generalized office support. Additionally, the position perform overall office support responsibilities including front desk/reception, greeting of visitors and guests, ordering stocking of office supplies and participation in coordinator of office/departmental events.

Essential Functions
- Maintains a strong customer service attitude, enhancing employee relations and providing excellent service to internal and external personnel.
- Welcome and orient all visitors and guests consistently with a positive attitude as the “first impression” of the company
- Ensures coverage of the phones, mail disbursement, day-to-day flow of activities associated with the front desk.
- Mailroom administration to include outbound and inbound mailings and overnight shipping (i.e. UPS, Fed Ex or DHL)
- Utilizing and managing the visitor check-in system to keep track of guests entering and exiting the building
- Plan and coordinate meetings
- Coordinate all arrangements including scheduling conference rooms and related equipment, preparing meeting materials, ordering meals, and arranging travel for out-of-town visitors.
- Provide travel planning and expense processing and administration
- Make travel arrangements for interview candidates through corporate travel agency. Responsible for providing complete travel itineraries and related documents, tickets, etc. in communication with candidates
- Order and maintain office supplies for the site
- Ensure the supply room and facility kitchens are clean an stocked daily
- Coordinate the scheduling and maintenance of the company pool car.
- Maintain and post company communications on company communication system
- Support with the creation and processing of Purchase Orders and P.O. tracking for the Purchasing Department through the company’s resource planning system
- Process invoices and invoice tracking for Finance and Human Resources departments
- Assists with the recruiting process for assigned positions. Reviews resumes for applicability, contacts potential candidates, sets interviews, leads or assists with the new hire orientation process.
- Participates on Human Resources project teams and conducts research on HR issues.
- Act as a member of various employee engagement committee’s including: Wellness and Safety.
- Performs other tasks and projects as assigned.
- High School/GED required; Associates or Bachelor's degree preferred
- Minimum of 2 years of administrative experience in a professional, corporate environment
- Fluent in all Microsoft Office applications and Microsoft Outlook
- Must be able to work with and maintain confidential information
- Strong written, verbal, and interpersonal skills.
- High degree of patience and compassion with strong customer service orientation
- Effective interpersonal skills and customer service orientation for dealing with internal customers, candidates and other external contacts
- Ability to manage multiple projects, strong planning skills.
- Previous work experience in fast paced business setting a plus.
- Ability to exercise good judgment and appropriate decision making. Ability to establish priorities effectively.
- Works in a well-lit office environment in both a sitting and standing position
- May work in a relatively open area with some noise and distraction
- Extended periods are spent sitting at a desk while working on a computer or handling paperwork.
- Frequent standing or walking to move throughout the building or complete various tasks.
- Occasionally lifting and carrying objects up to twenty-five pounds
- The work is primarily completed in an office setting with climate control.
- The noise level is low but may increase occasionally during meetings and events.
