About the Role
My client is seeking a highly organized, proactive, and business-minded Executive Assistant to support a busy executive in the insurance and surety industry. This is a dynamic role that combines high-level executive support, business operations coordination, and personal assistant responsibilities.
The ideal candidate is resourceful, detail-oriented, and able to anticipate needs before they arise. You'll serve as a trusted partner, helping manage day-to-day business operations while ensuring the executive's professional and personal priorities stay organized and on track.
Experience working in the insurance, surety, financial services, or other professional services industries is highly preferred.
Executive Support
- Manage a complex and ever-changing calendar, appointments, and meetings
- Coordinate internal and external meetings, including agendas and follow-up items
- Screen and prioritize communications and correspondence
- Prepare presentations, reports, and business documents
- Assist with email management and executive communications
- Maintain strict confidentiality and professionalism
- Support day-to-day business operations and strategic initiatives
- Coordinate projects, deadlines, and follow-up with internal and external stakeholders
- Organize business documentation, contracts, and operational processes
- Conduct research and prepare summaries, reports, and presentations
- Assist with administrative functions related to the insurance and surety business
- Help improve workflows and identify opportunities for greater efficiency
- Book and manage domestic and international travel, including flights, hotels, transportation, and itineraries
- Coordinate personal appointments and reservations
- Handle personal administrative tasks and errands that can be completed remotely
- Assist with event planning, gifts, and other personal requests
- Support work-life organization for the executive as needed
- 3 years of experience supporting C-level executives, business owners, or senior leadership
- Previous experience as an Executive Assistant, Operations Coordinator, Chief of Staff, or similar role
- Experience in the insurance, surety, financial services, legal, or other professional services industry is strongly preferred
- Strong business acumen with the ability to understand operational priorities
- Exceptional organizational and project management skills
- Excellent written and verbal communication
- Ability to manage multiple priorities with minimal supervision
- High level of discretion, integrity, and professionalism
- Strong critical thinking and problem-solving abilities
Salary : $65,000 - $90,000
