Overview:
Hayden Industrial, a leading manufacturer of industrial cooling systems, is seeking an Accounts Payable Specialist to join our team. In this position, you will perform accounting and clerical tasks related to the efficient maintenance and processing of accounts payable transactions for Hayden Industrial and Hydraulics Technology. Assists the Accounting Manager in the operations of accounts receivable.
Key Responsibilities:
· Manage AP including customer vendors relationship for Hayden and Hydraulics Technology (HTI).
· Review invoices for appropriate documentation and approvals. Match invoices to purchase orders. Research and resolve any differences.
· Prioritize invoices according to cash discount potential and payment terms.
· Code documents according to company procedures and vouch invoices in accounting software.
· Process invoices for payment, issue and mail checks or submit requests for wire transfer in a timely fashion.
· Audit and process credit card bills, employee expense reports, health insurance bills, and utility bills.
· Ensure adherence to company policy and procedures in all accounts payable functions. Assist other departments to understand and comply with the company policies and procedures.
· Respond to all vendors’ inquiries.
· Reconcile vendor statements, research and correct discrepancies. Maintain accurate information on the accounts payable and Unvouched Receipts general ledger accounts.
· Administer and reconcile petty cash fund.
· Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting principles.
· Scan all documents onto accounting drive for Hayden and HTI.
· Preparation and issuance of 1099’s.
· Assist with special projects and/or administrative and accounting tasks as needed.
· Assist in greeting the public in person and on the phone in an appropriate and courteous manner. Forward phone calls appropriately.
· Sorts and distributes mail.
· Assist Production Manager with data processing of Physical Inventory tags.
· Provide support for AP Clerk by keying invoices & cross training.
· Prepare check run file to ensure all invoices are paid promptly and subsequently issue corresponding checks.
· Record credit card payments and wire payments.
Education and Experience:
· Four-year college degree is preferred.
· High school diploma plus required experience and special skills will be accepted.
· Four years or more Accounts Payable experience.
· Attention to fine detail and accuracy.
Supervisor Responsibility:
This position has no supervisory responsibilities.
Work Environment and Physical Demands:
The Accounts Payable Specialist position is primarily based in an office environment, with tasks typically performed at a desk or workstation. The role requires extended periods of sitting, frequent use of office equipment, and repetitive motions such as typing and using a mouse. Occasional lifting of office supplies or files (up to 25 pounds) may also be required.
Position Type/Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 7:00 a.m. to 3:30 p.m.
Travel:
No travel is required for this position.
