Overview
We are seeking an energetic and personable Front Desk Staff member to be the welcoming face of our organization. This role is vital in creating a positive first impression for visitors, clients, and team members alike. As the front line of communication, you will manage a variety of administrative tasks, coordinate office operations, and ensure smooth daily functioning. Your enthusiasm, organizational skills, and dedication to exceptional customer service will help foster a professional and friendly environment.

Duties

  • Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel welcomed and valued
  • Operate multi-line phone systems efficiently, directing calls to appropriate departments or personnel with excellent phone etiquette
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
  • Handle incoming and outgoing correspondence, including emails, mail, and packages, with accuracy and promptness
  • Maintain organized filing systems, perform data entry tasks, and assist with document proofreading to ensure clarity and professionalism
  • Support office management functions such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by addressing inquiries promptly and professionally while maintaining a positive attitude

Qualifications

  • Proven experience in front desk operations or office management roles with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software
  • Demonstrated ability to handle multi-line phone systems with professionalism and courtesy
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Experience with administrative tools such as QuickBooks for bookkeeping or calendar management is preferred
  • Exceptional customer service skills combined with effective communication and phone etiquette
  • Prior office experience or clerical background that includes filing, proofreading, and general administrative support
