Duties
- Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel welcomed and valued
- Operate multi-line phone systems efficiently, directing calls to appropriate departments or personnel with excellent phone etiquette
- Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
- Handle incoming and outgoing correspondence, including emails, mail, and packages, with accuracy and promptness
- Maintain organized filing systems, perform data entry tasks, and assist with document proofreading to ensure clarity and professionalism
- Support office management functions such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries promptly and professionally while maintaining a positive attitude
Qualifications
- Proven experience in front desk operations or office management roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software
- Demonstrated ability to handle multi-line phone systems with professionalism and courtesy
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Experience with administrative tools such as QuickBooks for bookkeeping or calendar management is preferred
- Exceptional customer service skills combined with effective communication and phone etiquette
- Prior office experience or clerical background that includes filing, proofreading, and general administrative support
