Role Summary
We are seeking a detail-oriented and proactive Shipping & Production Coordinator to serve as the critical link between Production, Shipping, Inventory, and Installation teams. This role ensures that finished signage moves smoothly from the production floor through shipping and staging for field installation. The ideal candidate is highly organized, safety-minded, and committed to accuracy and on-time delivery. You will play a key role in maintaining operational flow while living Hardman Signs’ Core Values every day.
Key Responsibilities
- Coordinate daily workflow between Production and Shipping to ensure finished signs, hardware, and materials are accurately staged, labeled, and ready for shipment or field installation on schedule.
- Review work orders and production schedules to verify completion status, confirm all required components are included, and communicate any delays or issues to the appropriate teams immediately.
- Manage the accurate staging and loading of finished signage for shipping, ensuring proper documentation, labeling, and secure packaging that meets quality and safety standards.
- Serve as the primary point of contact between Production, Shipping, Inventory, Sales, and Installation Operations to maintain clear communication and seamless handoffs across departments.
- Track and report on key metrics including on-time shipping performance, order accuracy, and production-to-shipping cycle times; prepare concise updates for leadership.
- Champion safety and quality standards on the production and shipping floor — verify proper PPE use, safe material handling practices, and help maintain a zero-incident environment.
- Maintain accurate records in company systems for work orders, shipping documentation, and billing folder preparation; ensure all project files are complete and audit-ready.
- Coordinate with Inventory to confirm material availability and resolve discrepancies that could impact production or shipping timelines.
- Support continuous improvement by identifying bottlenecks in the production-to-shipping process and recommending practical solutions that improve speed and accuracy.
- Assist leadership with special projects, data analysis, and process improvements that strengthen overall operational performance across Production and Shipping.
Qualifications
- Minimum 2 years of experience in production coordination, shipping coordination, logistics, or operations support in a manufacturing, construction, or signage environment.
- Strong proficiency with Microsoft Office Suite (especially Excel for tracking and reporting) and experience with ERP, WMS, or production/scheduling software is highly desirable.
- Exceptional attention to detail and organizational skills with the ability to manage multiple priorities and maintain accuracy in a fast-paced production environment.
- Clear, professional verbal and written communication skills with the ability to work effectively across Production, Shipping, Inventory, and field installation teams.
- Valid Texas Driver’s License with a clean driving record.
- Bilingual English/Spanish is strongly preferred.
- Direct experience in the architectural signage, manufacturing, or construction industry is a plus.
- Familiarity with shipping processes, bill of lading preparation, and safe material handling practices is advantageous.
- High degree of personal accountability, reliability, initiative, and a genuine commitment to supporting both production and field teams with accurate, on-time deliverables.
Physical Requirements
- This role involves a mix of office and production/warehouse floor work, including time on the computer and time walking the production and shipping areas.
- Ability to occasionally lift and move items up to 30–40 lbs when assisting with staging or verifying shipments.
- Must be comfortable working in a non-climate-controlled manufacturing and warehouse environment at times.
- Must be able to communicate effectively in person, by phone, radio, and in writing while working around active production and shipping operations.
