What are the responsibilities and job description for the Administrative Assistant position at Harbor Foot & Ankle Clinic?
Job Overview
Are you a detail-oriented professional who thrives in a fast-paced medical environment? Our podiatry clinic is looking for a dedicated Administrative Assistant to manage our front-office operations and clinical documentation. While we provide a wide range of podiatric services, including advanced surgeries, a large portion of our practice is dedicated to high-volume routine foot care.
The ideal candidate is a "paperwork pro" who can navigate the complexities of insurance authorizations and referrals while providing excellent service to our patients.
Key Responsibilities
- Insurance & Authorizations: Proactively manage prior authorizations for routine foot care and surgical procedures. You will be responsible for obtaining any authorizations needed to ensure medical necessity is met and coverage is secured.
- Referral Coordination: Act as primary point of contact for incoming referrals from primary care providers. You will ensure all necessary clinical notes are in the chart before the patient's visit.
- Patient Scheduling & Flow: Manage a high-volume schedule, ensuring appointments are optimized and the "cancellation list" is used to minimize gaps in the day.
- EMR & Documentation: Maintain a high level of digital organization. This includes scanning, indexing external records, and ensuring the EMR system is accurate and up to date.
- Patient Service: Greet patients, verify benefits, and clearly explain insurance coverage or out-of-pocket costs for any DME.
Qualifications
- Experience: At least 1-2 years of experience in a medical office setting (Podiatry, Orthopedics, or Primary care experience is a plus)
- Communication: Professional phone etiquette and the ability to coordinate effectively with other doctors' offices and insurance adjusters
- Technical Skills: Proficiency with EMR systems and online insurance portals.
- Authorization Expertise: Strong understanding of the prior authorizations process and ability to advocate for patient coverage.
- Detail Oriented: Ability to manage a heavy volume of paperwork and medical records with 100% accuracy.
