Overview
We are seeking an energetic and organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, and provide exceptional customer service to visitors and clients. Your proactive approach and excellent organizational skills will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic environment.

Responsibilities

  • Greet visitors and clients warmly, ensuring a professional and friendly first impression
  • Answer and direct multiple phone lines using multi-line phone systems with courtesy and efficiency
  • Manage appointment scheduling, calendar management, and coordinate meetings for staff and executives
  • Handle incoming and outgoing correspondence, including emails, mail, and packages
  • Maintain organized filing systems, data entry records, and ensure accurate document proofreading
  • Support office management tasks such as supply inventory, photocopying, and document preparation
  • Provide customer support by addressing inquiries promptly and professionally, both in person and via phone or email

Requirements

  • Proven experience in office management or as a receptionist with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent computer literacy with the ability to perform data entry, filing, and document proofreading accurately
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly preferred to assist diverse client needs
  • Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
  • Exceptional time management skills with the ability to prioritize tasks efficiently
  • Previous experience in customer service or administrative roles within medical or dental offices is advantageous
