Position Summary:
The Events Site Coordinator plays a key role in ensuring smooth and successful event operations. This full-time, on-site role serves as the point of contact for day-of event execution, assisting with venue readiness, vendor coordination, and client support. The ideal candidate is highly organized, communicative, and comfortable working in a dynamic, hospitality-focused environment.
Key Responsibilities:
Act as on-site representative during events, ensuring venue policies, safety protocols, and production timelines are followed.
Oversee event load-in and load-out, liaising with vendors, clients, and production crews to ensure smooth coordination.
Support pre-event walkthroughs and post-event inspections, documenting issues and maintaining venue standards.
Coordinate with internal departments (maintenance, operations, security) to ensure site readiness before each event.
Assist with setup of venue assets (furniture, signage, rentals) as needed.
Serve as a liaison for client questions or needs during the event, escalating issues to management when necessary.
Track inventory and venue equipment usage and help maintain organization across all operational areas.
Report and log any damages, safety concerns, or incidents in a timely and professional manner.
Qualifications:
2 years of experience in event coordination, hospitality, or venue operations.
Strong interpersonal and communication skills.
Ability to multitask and problem-solve in a fast-paced, event-driven environment.
Comfortable working evenings, weekends, and late hours, depending on the event schedule.
Professionalism and calm under pressure, especially during high-volume events.
Detail-oriented and proactive with a hospitality-first mindset.
Ability to lift and move event-related equipment (up to 40 lbs).
Preferred but Not Required:
Familiarity with event production, A/V, or facility logistics.
Previous experience working at cultural venues or event spaces.
Familiarity with tools like Tripleseat, AllSeated, or similar event planning platforms.
Compensation:
$25–$35/hour based on experience. Additional hours and evening/weekend shifts expected in line with event scheduling.
