Compensation - $35-65 Hourly

Overview
Our client is seeking an experienced IT Program Delivery Coordinator to support a Student Systems & Support team within a large, complex organization. This team consists of technical professionals including Analysts, Developers, and Database Administrators responsible for enterprise-level systems.
This role partners closely with an IT Manager to ensure operational and project-based work progresses efficiently. The position focuses on day-to-day system operations, including change and configuration management, user access, and coordination across multiple technical functions. Work is managed through a digital workflow platform (e.g., ServiceNow).
This role does not include direct budget or people management responsibilities but requires strong cross-functional coordination with internal stakeholders, vendors, and external partners.
Key Responsibilities
Program & Operational Coordination
- Partner with IT leadership to coordinate schedules, resources, scope, and communications across operational and project work.
- Support prioritization and planning based on business and operational needs.
- Oversee recurring operational activities including incident and request management.
- Coordinate release schedules, upgrades, and key system events (e.g., annual cycles, system updates, etc.).
- Facilitate daily stand-ups and necessary meetings to maintain operational momentum.
- Support after-hours activities tied to critical system updates or time-sensitive processes.
Communication
- Develop and execute communication plans related to system changes and operational updates.
- Provide clear communication to both technical and non-technical stakeholders, including leadership.
- Coordinate messaging related to service interruptions or system updates.
Process Improvement
- Identify and support continuous improvement initiatives across operations.
- Assist in optimizing workflows, resource allocation, and service delivery.
- Contribute to the development and enhancement of tools and processes within the workflow platform.
- Help define service level agreements (SLAs) and operational standards.
- Drive documentation and standardization of procedures.
Collaboration & Stakeholder Engagement
- Coordinate across internal teams, business units, and external vendors.
- Represent the team in change management and cross-functional meetings.
- Support alignment between operational work and broader organizational initiatives.
Documentation
- Develop and maintain operational documentation, dashboards, workflows, and reporting tools.
- Ensure clarity and accessibility of technical and business process documentation.
Required Qualifications
- 5-8 years of experience supporting or leading IT operations for enterprise systems.
- 5 years of experience coordinating or managing IT projects.
- Background in systems administration or technical application support.
- Experience with ServiceNow (or similar platforms), including project tracking, workflows, and resource management.
- Experience working within Agile, Scrum, or Kanban environments.
- Familiarity with UAT processes, change management, and release coordination.
- Strong understanding of SDLC and operational processes.
- Proven ability to coordinate across technical teams, stakeholders, and vendors.
- Excellent organizational, communication, and problem-solving skills.
- Ability to work independently in a fast-paced environment.
- Bachelor’s degree or equivalent experience.
Preferred Qualifications
- Experience supporting Student Information Systems (SIS) or similar platforms.
- Background in education technology or large public-sector environments.
- Certifications such as PMP, PgMP, CSM, PMI-ACP, ITIL, or ServiceNow.
- Experience with process improvement methodologies (Lean, Six Sigma).
- Familiarity with enterprise application integrations and cloud-based systems.
- Exposure to IT security and compliance practices.
