Duties
- Greet visitors and clients promptly and professionally, creating a welcoming environment
- Manage multi-line phone systems, handle inquiries, and direct calls efficiently
- Schedule appointments using calendar management tools and coordinate meetings
- Perform data entry, filing, and maintain organized records using Microsoft Office and Google Workspace
- Assist with billing, bookkeeping, and basic office management tasks using QuickBooks or similar software
- Provide customer support via phone, email, or in person, ensuring high levels of customer satisfaction
- Proofread documents for accuracy and clarity before distribution
- Support administrative functions such as typing correspondence, managing office supplies, and maintaining cleanliness of the front desk area
- Handle administrative duties related to medical or dental receptionist responsibilities if applicable
Qualifications
- Proven experience in office management, clerical work, or administrative support
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong computer literacy with experience in data entry and document proofreading
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette and customer service skills
- Ability to operate multi-line phone systems efficiently
- Bilingual abilities are preferred to assist diverse client needs
- Prior experience in medical or dental reception is advantageous but not required
- Strong time management skills with the ability to prioritize tasks effectively
